We are seeking an experienced freelance Bid Coordinator to support a major, high-profile transport infrastructure pursuit currently in market.

This role offers a genuine opportunity for a senior estimating professional to play a key role in building market presence, winning work and shaping the pre-contracts function within a growing NSW operation.

This is a six-month contract role, working closely with senior project, commercial, and communications stakeholders to deliver a complex, multi-volume submission.

This role suits someone who is calm under pressure, highly organised, and deeply familiar with government and large-scale commercial tenders.

The Role

You will coordinate and manage the end-to-end bid process, from RFT release through to submission, ensuring all responses are compliant, compelling, and delivered on time.

Key responsibilities include:

  • Coordinating and preparing high-quality RFT, RFQ, and EOI submissions
  • Reviewing and analysing tender documentation to assess requirements, risks, and evaluation criteria
  • Managing tender schedules, registers, and submission deadlines
  • Leading bid kick-offs, storyboarding sessions, reviews, and panel applications
  • Drafting and editing clear, well-structured written responses aligned to win themes
  • Collating inputs from project, pricing, operational, legal, and compliance teams
  • Liaising with external consultants and partners during bid preparation
  • Conducting detailed QA, proofreading, and compliance checks across all submission materials
  • Coordinating with designers to ensure a strong visual presentation and document consistency
  • Maintaining and improving bid templates, content libraries, and capability statements

About You

You are an experienced bid professional who can operate autonomously, anticipate issues, and keep complex submissions on track.

You will bring:

  • 3+ years of experience in bid coordination, tender management, or proposal development
  • Demonstrated experience on government or large commercial tenders
  • Strong understanding of tender processes, compliance requirements, and evaluation criteria
  • Exceptional written communication, editing, and proofreading skills
  • High attention to detail and pride in producing polished, professional submissions
  • Advanced proficiency in Adobe InDesign (or similar) and solid capability across MS Office
  • Excellent time management skills with the ability to manage multiple workstreams concurrently
  • Confidence working directly with senior stakeholders and subject matter experts
  • A proactive, solutions-focused mindset and a collaborative working style

Highly regarded (but not essential):

  • Experience within infrastructure, transport construction or operations, facilities, construction, or service-based industries
  • Background in professional services, engineering, architecture, or consulting environments
