About the Role

The System Administrator is responsible for managing and maintaining the organizations IT infrastructure, ensuring optimal performance, security, and availability of systems and networks. The role involves proactive maintenance, troubleshooting, and continuous improvement of IT services.

Scope of Work / Responsibilities

Supports the Product Manager and/or Product Delivery Manager in:

  • Developing product delivery plans, tracking progress and status against the plan, and ensuring information provided is accurate and up to date.

  • Reviewing and understanding the product delivery schedule to determine if scope and deliverables align with targets, and providing recommendations for improvements.

  • Managing relationships with stakeholders at all levels.

  • Ensuring product deliverables are presented in an acceptable state and that users adopt the product(s) being delivered through adoption and change management methodologies.

  • Following up on stakeholders action items to ensure timely completion.

  • Actively tracking risks, assumptions, issues, and dependencies, and taking preventive or corrective measures to bring the product back on track, including raising Change Requests as needed.

  • Preparing and updating weekly status reports, communications, and presentation decks for product status updates and other required deliverables.

  • Drafting and maintaining site templates necessary for product launches, tracking, and monitoring.

  • Coordinating and assisting in the procurement process to ensure timely acquisition of goods and services necessary for product delivery.

  • Ensuring the product adheres to internal product management and financial control frameworks.

  • Facilitating and coordinating the necessary approvals from the Change Advisory Board (CAB) before product deployment.

  • Ensuring compliance with organizational security standards and coordinating reviews and approvals with the security team.

  • Preparing the following:

    • Product Status and Budget Reports

    • Presentation materials and minutes for product and stakeholder committee meetings

    • Artifacts required for health checks, IT attestations, and other audit exercises

  • Establishing and maintaining the products collaboration site for all product documents and records.

  • Developing and maintaining the resource plan (including utilization, renewals, releases, and engagements) and ensuring resource timesheets are up to date.

  • Transferring knowledge to other personnel as needed.

  • Leading a team of associate and senior product administrators, as assigned.

Requirements and Qualifications

Education and Work Experience

  • Bachelors degree in Engineering, Computer Science, or related fields.

  • At least 5 years of experience in Product or Project Management, with a proven track record of success in multiple medium to large IT initiatives (preferably in software solution delivery and/or IT infrastructure/network projects).

  • Minimum of 3 years of experience with SDLC, preferably with exposure to agile methodologies.

  • Experience as an IT product administrator or coordinator is an advantage.

Technical Knowledge

  • Knowledge of both theoretical and practical aspects of product or project management, including tools and techniques.

  • Experience in planning and monitoring IT projects involving system development, integration, and implementation.

  • Proven ability in product planning, risk and issue management, and people management.

  • Experience delivering knowledge or content management systems is an advantage.

  • Hands-on experience in site design, communications, or creative media is a plus.

  • Experience working with technical teams and coordinating initiatives across multiple domains.

Certifications (if applicable)

  • PMP, PRINCE2, AgilePM, or CITPM certification preferred.

Reporting and Coordination

  • The consultant will take direction from the designated Manager or Supervisor and work closely with the project team, as well as internal and external stakeholders.

  • Additional services may be required as directed by the team or supervisor.

Work Arrangement

  • Hybrid setup, requiring onsite presence up to three times a week (subject to organizational requirements).

  • Standard work schedule: 8:00 AM 5:00 PM Manila Time.
