Sr. HR specialist
2. Description of Responsibilities
Hiring
Recruit, interview and complete process for new hires.
Manage recruitment for professional and administrative openings, including creating a recruiting and interviewing strategy for each open position, writing/revising position job descriptions, managing staffing agencies, conducting screening interviews, composing offer letter and monitoring selection process through acceptance.
Handles back ground check
Obtains working VISA with immigration lawyer if required.
Obtains Trainee VISA with planning training program if required.
Payroll
Preparing payroll data and making arrangement with the payroll company with respect to the payroll processing including overtime calculation on federal and state law.
Handles overall payroll - payroll deductions for health insurance, 401k and commuting benefits. Submits to payroll data to CPA for gross-up and data transfer to ADP.
Unemployment responses to DOL
Manage employee changes (process new hires, promotions, terminations and other staffing changes).
Employee Benefit
< 401 k >
Handles 401K program, including monthly contribution tied up with payroll data. Preparation of forms and returns in compliance with IRS requirement. Annual review of 401k plan and program.
< Health Insurance >
Maintains and updates employee information with Health Insurance providers
Labor Law Compliance
Maintains compliance with federal, state and local labor laws, employment and benefits laws and regulations.
Maintains and complies Labor law of Federal and States including exempt, non-exempt, minimum wage, overtime
Handles FMLA, PFL, ACA accommodation request, disability claims- PFL, short and long-term disability
Maintains Employee Handbook
Create, compile and distribute communications, reports and presentations as needed.
Performance Review and Salary Review / Strategic Compensation
Prepares, schedules, and conducts Annual Performance Review and Salary Review.
Participates updating and upgrading HR system to attract, retain, and grow talented employees while aligning their behaviors and job performance with the organization's goals and objectives on Strategic Compensation.
HR Administration
Schedules or conduct new employee orientations.
Maintains employee information and data on HR system.
Handles employment verification.
Providing employment verification through phone, email, fax, and regular mail on a weekly basis.
Handles international transfer employees from oversea group companies as new employees includes assisting setting up to live and work in the US, obtaining working VISA, assisting individual income tax filing.
Conduct exit interviews and ensure that necessary employment termination paperwork is completed.
Responsible for tracking, filing and sending out reminders for compliance training.
Reporting
This position reports to VP, Corporate Planning & Operation and /r CFO, COO. The other persons will be designated by President & CEO if necessary.
Qualifications
Bachelor's degree is required. HR degree is preferable.
5+ years of professional experience ideally working as HR specialist
Must be native level in Japanese
Desire to learn and grow within the HR function, passionate about understanding HR process/systems and passionate about company culture building
Working Schedule
Mon thru Fri, 9am to 5pm
