Falcon Chambers is a very busy specialist property set of chambers with 47 barristers (17 silks). They are seeking a Corporate Receptionist / Administrator. The position is to manage reception and front of house duties, as well as assisting the Fees, Clerking and Marketing teams with general administration.
Previous chambers experience whilst an advantage is not essential, but experience of working in a professional service environment would be an advantage.
The ideal candidate needs to be:

Reception Duties:
- Efficient answering of all calls to Chambers.
- Routing of calls, ensuring that if the person being called is not available a message is either taken or the caller is put through to the Voice Mail System.
- Screening calls for Barristers.
- Meet and greet clients as they arrive into Chambers.
- Keeping the reception area and conference rooms tidy and maintained.
- Keeping the passageway and courtyard neat and tidy and free from litter.
- Open all courier delivered parcels and inform the clerks if the documents are urgent.
- Ensure that all conferences and online hearings that need to be accommodated are allocated a room the day before.
- Confirming conference attendance and requirements 48 hours beforehand.
- Ordering lunches when required.
- To keep the Reception File accurate and up-to-date.
- To keep the Chambers Address List up-to-date.
- Log incoming papers.
- Organise refreshments for visitors to Chambers and for conferences.
- Running weekly fire test procedure.
- Liaise with and organise courier collections.
- Inform the Chambers Director immediately of any complaint received.
- To administer and reconcile the petty cash.
- Circulating daily attendance information.
- Book personal items into barristers diaries as requested.
- Booking travel and accommodation arrangements for barristers.
- As soon as possible after the end of the month to send out the Random Questionnaires.
- Ensuring that the reception, conference rooms and waiting area are neat and tidy at all times.
- When required setting-up for video conferences.
- Ensuring that all AV equipment has regular hardware updates as required.
- Co-ordinating pupils training exercises.
- Organising weekly laundry collections and delivery.
- Liaising with the telephony contractors in terms of servicing, fault finding, adding new users to the system, and allocating extensions and direct lines.
- General tidying and stocking of kitchen, and watering the garden in hot weather.
- Liaising with cleaners.
- Liasing with contractors with regard to Facilities Management.
- Setting up and assisting with in-house parties.
Clerking Support
- Assisting with e-bundling, scanning and photocopying.
- Assisting with despatch of papers.
- General clerking assistance as and when required.
- Dealing with post both incoming and outgoing.
- To assist with keeping stock cupboard tidy and re-ordering of supplies.
- Assist with logging papers onto computer system.
Marketing Support
- Assisting the Marketing Executive with admin duties, including arranging caterers, dates for events and general admin associated with the Marketing function.
- Assisting with organising in-house and external functions when required for marketing events.
- Generally assisting with marketing administration. This would, for example, involve up-loading judgements, articles and or news updates to the website, creating graphics on Canva and then posting these on social media (X and LinkedIn) as and when needed. This will be especially necessary during busy periods such as during directories season and when the Marketing Executive is away from Chambers.
Admin Fee Support (in the absence of the Fees Clerk
- Assisting and providing holiday cover for the Fees Clerk. Allocating payments, liaising with solicitors and barristers, sending fee notes and general payments enquiries.
- Assisting the Financial Administrator with scanning, filing, invoicing, general enquiries.
- Running daily workflow report.
- Running daily fee note run.
- Allocating payments.
- Updating case record with relevant information.
- Place cases on hold where appropriate.
- Sending weekly reminder emails payments received.
