Our client is a magic circle set recognised nationally and internationally in the fields of Commercial and Financial Litigation, Arbitration, Public Law and Public International law. They currently seek a Part-Time Pupillage Administrator to manage and be responsible for the pupillage function within Chambers. The successful candidate will be highly efficient and competent at administrative tasks, able to communicate clearly in person and in writing, be able to identify potential problems and recommend solutions, and have a responsible and flexible attitude.
Hours: 22.5 hours per week (ideally 4 hours a day, 4 days a week and 4.5 hours on the 5th day, with flexibility to do full days very occasionally and with plenty of advance notice e.g. for pupillage interviews)
Reports to: Pupillage Committee and Operations Manager
Job Summary
- To manage and be responsible for the pupillage function within Chambers.
- Assist with the administration of various other schemes and outreach programmes.
- To be the primary point of contact with prospective pupils.
- To respond to external queries regarding pupillage recruitment.
- In conjunction with the Pupillage Committee, to manage and liaise with external providers for the support and development of the pupillage systems and process.
- Liaise with the Pupillage Committee and other Committees when receiving opportunities to sponsor and support university or other relevant events / activities / societies.
- To provide administrative support and assistance to the Pupillage Committee.
- To take responsibility for the administration of the pupillage I.T. systems, including maintaining systems documentation, user guidelines, updating relevant website pages, as well as the intranet.
- Engage with the marketing team and share any upcoming information/events to be highlighted on social media as well as initiating good marketing prospects that are beneficial for pupillage purposes.
- To be the primary internal contact for the running of the semi-final and grand final of the National ESU Mooting Competition, liaising with external parties.
General Duties
- To be the primary point of contact for all potential applicants for pupillage. Dealing with all correspondence and queries.
- Responsible for the smooth and efficient running of the annual pupillage application process, as operated by the Bar Councils Gateway application process.
- Although strategic oversight and direction is provided by the Pupillage Committee, the Pupillage Administrator is responsible for the day-to-day operation of the pupillage process.
- Assist in managing those who have obtained pupillage, which will involve working closely with the Pupillage Committee and liaising with Members of Chambers.
Administrative Duties
- Preparing, managing, and monitoring the pupillage budget; ensure invoices and payments are processed correctly.
- Maintaining accurate files and records, including data and statistics for the purposes of Equality and Diversity.
- Responsibility for updating the pupillage pages of the website and our intranet.
- Arranging exercises, events and programmes which involves strategic diary management of both members and pupils.
- Assisting in the organisation of, and where necessary administer and attend, pupillage events including in-house events and external events, such as open days and law fairs.
- Regularly updating policies and relevant pupillage files.
Any other day to day administrative tasks necessary for the role as reasonably requested.
