PURPOSE OF THE JOB: To organise and manage an effective fee collection/credit control system
REPORTING TO: Eddie Holland, Senior Clerk (Line Manager)
This part time role is 3 days a week with hybrid potential
Activities Involved
Under the supervision of the Financial Controller:
Fee Collection
- Timely collection of barristers professional fees by maintenance of an efficient and effective credit control system
- Maintaining relationships with professional clients to ensure that the chasing of fees has no negative impact on our client relationships generally
- Managing the collection of publicly funded fees
- In conjunction with the Team Leaders, managing the collection of privately-funded fees
- Notifying barristers of payments
- Maintaining separate spreadsheets of payments for reconciliation purposes
- Managing a monthly aged debt reporting process for approx 12 members each month
- Monitoring/maintaining of Lex workflows to ensure that reminder fee notes and letters are issued regularly and that fees are collected within our Standard Contractual Terms
- Dealing with fee queries
Banking
As backup to the Financial Controller during holiday and other absences:
Managing the Chambers Professional Fee Account via online banking facilities:
- Daily monitoring of payments in
- Reconciling payments with Lex payment reports
- Creating payment runs for authorisation and subsequent processing
- Notifying Barristers of payments processed
Person Specification
Knowledge and Experience
- Previous experience in fee collection within a barristers chambers - Essential
- Knowledge of Lex - Desirable
- Knowledge of core office management applications (Outlook, Excel, Adobe etc.) - Essential
Skills and Abilities
All essential:
- Strong interpersonal and communication skills
- Ability to work under pressure, to deal with several tasks at the same time and to prioritise appropriately
- Flexibility, adapting to changing needs, the ability to cover for the Financial Controller in their absence; willingness to undertake duties not specified in the job description
- Excellent oral and written communication skills, able to operate at all levels
