Our client, 11KBW, a leading set in the areas of employment, public, commercial and information law, are seeking a Team Clerk with over 5 years of clerking experience, with at least three years practical diary and fee management to join their team.

About the Role

  • Team assistant, working alongside one other colleague and under the guidance of a Team Leader.
  • Actively clerking a team of 17 19 barristers.
  • Competitive salary and bonus (awarded on individual performance). 25 days holiday plus all bank holidays

Job Summary/Key Accountabilities

Clerking function

  1. Ensuring at all times, via your own personal conduct, that chambers clerking function remains within the requirements of the Bar Councils Code of Conduct;

  1. Answering the telephone in a timely and professional manner as per established quality standard procedures;

  1. Dealing with or where suitable referring onwards to the relevant barrister or member of staff, any queries or enquiries that might generally arise - either verbally, via the telephone, or in writing - and ensuring clear and comprehensive notes are kept on the Lex system at all times;

  1. Ensuring that instructions and other case-related papers in relation to the members of your team are entered onto the Lex system as soon as possible, along with any other notes as may be necessary; and making sure that they are passed immediately to the relevant member of your team for action/information;

  1. Ensuring that you comply at all times with the established best practice requirements in respect of money laundering, complaints, conflict searches and fair distribution of work requirements;
  1. Professional management of the diaries of all members of your team;

  1. Preparing in advance for and attending, as required, appointments to fix hearings in all divisions of the High Court, in liaison with your Team Leader, and ensuring that all relevant details are fully recorded on the Lex system, that the Team Leader and relevant member(s) of the team are fully informed of the outcome, and generally that chambers established procedures are adhered to at all times;

  1. Ensuring that a high quality level of support is given to members of your team (and other members of chambers as necessary) at all times in relation to their attendances at court and at conferences: for example, but not limited to, ensuring the time and location of hearings/conferences is communicated well in advance; overseeing where necessary the prompt delivery to and collection from court of papers; the copying of authorities; and any other reasonable barrister requests and requirements in relation to the above;

  1. Ensuring requests for fee quotes for members of your team are clearly and comprehensively recorded and either dealt with directly or allocated accordingly;

  1. Ensuring responsibility for fee quotes in relation to hearings being undertaken by members of your team are either dealt with directly or are allocated to another clerk within your team in order that the client receives the quote in good time, as per the established Code of Conduct requirements;

  1. Entering and/or costing timesheets received from members of your team within chambers established time frame requirements, as required;

  1. Taking full details of any fee disputes as and when they arise and referring them onto your Team Leader for consideration;

  1. Ensuring the requirements of the arrangement for the out of hours on call clerk are adhered to at all times when it is your turn to act in that capacity (including dealing, from time to time, with any urgent issues that may arise in respect of members of your team outside of normal working hours);

  1. Any other tasks as might reasonably be required by your Team Leader, Senior Clerk, members of chambers and/or their clients.

Marketing/Practice Development

  1. Assisting the Team Leader to ensure that an efficient and professional clerking service is received by clients at all times in order that existing relationships are maintained and new relationships developed via the client experience;

  1. Assisting the Team Leader to ensure that a general knowledge of all members practices is maintained, and that a detailed knowledge of every member of your teams specific practice is developed and kept up-to-date at all times;

  1. Maintaining an awareness of the work expectations of all members of your team, including assisting the Team Leader in identifying those practices which from time to time require additional specific focus/development;

  1. Attending client visits with potential new and/or existing clients where required/agreed with the Team Leader and/or Senior Clerk, and ensuring a full note of the discussion is produced and circulated within 5 days of the visit having taken place;

  1. Assisting the Team Leader and/or Senior Clerks to arrange marketing events, and attending such events;

  1. Supporting members of chambers, where required, in the regular seminars/talks given by chambers generally, individual interest groups and individual members of your team, including the following up of leads/feedback as appropriate;

  1. Generally supporting and assisting chambers Administration and Events Team in the marketing of chambers and its members.

Support and deputising for the Team Leader, setting a positive example in the clerks room generally, and inter-team relationships

  1. Generally providing first line support to the Team Leader in all aspects of assisting them with the smooth functioning of the team as a unit;

  1. Deputising for the Team Leader as and when required;

  1. Ensuring that inter-team co-operation and good working relationships are developed/maintained with the other teams, and ensuring that support is both provided and requested from the other teams as and when necessary in order to ensure that the clerking function performs effectively and efficiently at all times;

  1. Ensuring that any barrister and/or client concerns/complaints received via the clerks room are dealt with promptly and the necessary action taken through referral to the Team Leader or Senior Clerk;

  1. Ensuring the established clerks room procedures are adhered to at all times, including identifying when colleagues, particularly the junior clerks, require assistance/guidance in order to achieve this;

  1. Attending and having input into the weekly clerks meetings and quarterly staff meetings in order that maximum benefit is gained from them, including contributing towards Agendas and Minutes as appropriate;

  1. Generally seeking to maintain and develop good relationships with all staff in chambers.

Financial/Strategic understanding

  1. Having a general understanding of the on-going financial position of chambers as a business entity, both in income and expenditure terms, and assisting in the process of chambers meeting its stated financial targets;

  1. Having a general understanding of the financial expectations of members of your team and assisting in the process of those members maximising their income as well as identifying and seeking to address any potential issues that may arise in this respect;

  1. Through encouragement from the Team Leader, positively contributing to the development and implementation of chambers strategic plan;

  1. Developing a broad understanding of the external/market based pressures facing chambers and the legal world generally and making suggestions for policy changes/topics for consideration as and when deemed beneficial as likely to be beneficial to the business.

Other

  1. Any other tasks as may reasonably be required from time to time in order to properly and fully fulfil the role required by Chambers of a Team Assistant.

About You

  • You will work alongside another team assistant, supervised by a Team Leader, in a team of 3.
  • Ideally you will have 5 years clerking experience with at least three years practical diary and fee management.
  • In conjunction with the other team assistant, you will be responsible for
  • Managing and maintaining the diary of the members of your team;
  • Having an eye on all fee-related matters including keeping fee notes up to date, ensuring fees are billed in a timeous manner and being on top of upcoming brief fees;
  • Ensure fair allocation of work for all members;
  • Dealing with listing issues for members of your team;
  • Developing a thorough understanding of the practice of each of the members of your team and their individual aims and working in conjunction with your colleagues to help members achieve those aims;
  • Assisting with marketing activities and being alert to business development opportunities.
  • You will have a commercial and flexible attitude with the ability to work on simultaneous tasks.
  • You will be accurate and reliable under pressure.
  • You will be able to demonstrate strong client facing skills.
  • You will be educated to at least A Level standard or equivalent.
  • You will have excellent IT skills.
  • A knowledge of Lex will be advantageous but not a requirement as training will be given.
  • You will be punctual, courteous and able to communicate appropriately with members, clients and all those with whom chambers engages.
  • You will demonstrate a strong ethos for teamwork and the ability to work under your own initiative.
  • You will have a thorough understanding of equality and diversity and the importance of practising the same in all situations and towards all people.
  • You will have a demonstrable enthusiasm for a career in clerking.
