The Operations Assistant is a vital support role within the Operations Department, working closely with the Operations Lead, Heads of Department and Directors to ensure the smooth running of internal processes and projects. This role is a great opportunity for someone who has a keen eye for detail and enjoys looking at ways to improve company efficiencies. The role will require lots of interaction with TL4s clients so strong communication skills are also key.



Key Responsibilities

Core Company Operations

  • Work with Internal Business Operations Lead to update dashboards and reports using data from internal systems and platforms.
  • Work with Internal Business Operations Lead to create reports that assist higher management with the visibility on KPIs, team performance and operational metrics.
  • Drive and manage companywide Project Lifecycle Process which aims to deliver oversight of the status of TL4s events, flagging when a project needs investigation.
  • Work with Internal Business Operations Lead and Senior Project Manager to manage digital systems, integrations and workflows.
  • Work with Internal Business Operations Lead to create and maintain internal training modules and talent development.
  • Propose and drive updated or new operational efficiency processes.

Client and Communication

  • Build and maintain client relationships by providing exceptional customer service from the point of registration to the day of an event.
  • Respond to event and community queries via our communal inboxes and answering phone calls in a professional manner; communicating updates across wider TL4 departments when necessary.
  • Manage registration amendments efficiently and consistently.
  • Working closely with Finance to accurately manage invoicing queries and updates.
  • Work with Internal Business Operations Lead and Head of Department to assist in the development of efficient processes to enhance customer experience and streamline internal protocols.
  • Event system set up - this consists of liaising with wider company to gather information needed to set up the system that enables customers to purchase tickets to our events.
  • Support event team on site for events with customer service requirements.


Desirable Skills

  • Degree (or relevant qualification) in business, operations, or event management.
  • Experience in operations, events, or legal industry.
  • Strong financial skills (budgeting, targets, invoices).
  • Excellent interpersonal, verbal, and written communication.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft platforms (Excel, Word, PowerPoint).
  • Ability to work to deadlines and independently.
  • Collaborative team player with an entrepreneurial attitude.
  • Confident using technology and able to provide light-touch support on ad-hoc operational IT-related activities.
