Position: Operations Assistant
Job Summary:
As an Operations Assistant, you will be responsible for supporting the day-to-day operational tasks related to fleet management, procurement activities, and facility upkeep. This entry-level role is designed for individuals with a strong willingness to learn, good organizational skills, and the ability to support multiple departments effectively
Key Responsibilities:
- Fleet Support
- Assist in tracking vehicle usage, fuel consumption, and maintenance schedules.
- Help coordinate vehicle dispatching and ensure drivers submit required logs/reports.
- Maintain physical and digital files for vehicle registration, insurance, and service records.
- Follow up with drivers for checklist completions, mileage updates, and cleanliness standards. - Procurement Support
- Help collect and compare supplier quotations for various purchases.
- Assist in preparing purchase requests, purchase orders, and tracking deliveries.
- Maintain an organized archive of supplier invoices and contracts.
- Support inventory updates and report low stock items when observed. - Facility Support
- Assist in monitoring cleaning schedules, minor maintenance needs, and supply levels.
- Report any facility issues such as lighting, plumbing, or any issue related to the relevant technician or vendor.
- Help coordinate with service providers (e.g., maintenance, pest control, security) for timely visits.
- Track and refill office and kitchen supplies as needed.
Qualifications:
- Bachelor's degree in Business Administration or a related field
- Up to 2 years of experience in a similar role is a plus.
- Strong organizational and time-management skills
- Excellent communication and interpersonal skills
- Must hold a valid motorcycle driving license
- Ability to work under pressure and meet tight deadlines
- Proficient in Microsoft Office (Excel, Word, email communication)
- Positive attitude, eagerness to learn, and ability to work in a team.
