About the Role

We are looking for a sharp, resourceful, and growth-driven Business Operations & Executive Coordinator to support the day-to-day financial, operational, and administrative functions of the company.

This is a high-visibility role working directly with the CEO. You will help keep the business organized, financially accurate, operationally efficient, and customer-focused. This position is ideal for someone with 2–3 years of experience who wants exposure to leadership, strategy, and business operations in a fast-paced environment.

What Youll Own

Financial & Bookkeeping Support

  • Manage accounts payable and receivable
  • Process invoices, vendor payments, and expense tracking
  • Reconcile accounts and maintain clean financial records
  • Assist with payroll coordination
  • Prepare weekly and monthly financial summaries for the CEO
  • Support budgeting and cash flow tracking

HR & People Operations

  • Coordinate onboarding and offboarding
  • Maintain employee and contractor documentation
  • Track PTO and payroll inputs
  • Support recruiting logistics and scheduling
  • Help maintain a positive and organized team experience

Executive & Leadership Support

  • Manage CEO calendar, meetings, and follow-ups
  • Prepare summaries, reports, and internal communications
  • Track action items and ensure deadlines are met
  • Serve as a communication bridge between CEO and team

Customer & Relationship Management

  • Act as a point of contact for key clients
  • Manage customer follow-ups and documentation
  • Maintain CRM updates
  • Help ensure smooth communication and high customer satisfaction

Basic Operations Management

  • Improve internal processes and documentation
  • Coordinate vendors and service providers
  • Support cross-functional projects
  • Identify inefficiencies and propose improvements

Who You Are

  • 2–3 years of experience in operations, bookkeeping, admin, finance, or a similar role
  • Comfortable with numbers and basic financial reporting
  • Highly organized and detail-oriented
  • Strong written and verbal communicator
  • Proactive — you dont wait to be told what to do
  • Tech-savvy (Google Workspace, Excel, QuickBooks/Xero, CRM tools)
  • Discreet and trustworthy with confidential information
  • Eager to grow into a broader operations or leadership role
