Job Overview

The GHL & Automation Operations Specialist will be responsible for managing and supporting client automation systems inside GoHighLevel (GHL), maintaining AI knowledge bases, and ensuring all workflows and integrations run accurately and reliably. This is an operations-focused role suited for a detail-oriented professional who takes ownership, follows structured processes, and can work independently with minimal supervision.

Key Responsibilities

  • GoHighLevel (GHL) Management: Build, modify, and maintain workflows and automations inside GHL; configure calendars, forms, triggers, pipelines, tags, and custom fields in line with client requirements.
  • Automation Troubleshooting: Identify and resolve workflow and automation issues; test all configurations thoroughly before deployment to prevent errors in live client operations.
  • WhatsApp Integration Support: Create and update WhatsApp message templates; support the setup and maintenance of WhatsApp-based communication workflows within GHL.
  • AI Knowledge Base Maintenance: Upload, organise, and structure knowledge base content for AI-powered chatbots; clean duplicate or conflicting entries and test chatbot responses to flag inaccuracies.
  • Documentation & QA: Follow SOPs and implementation instructions carefully; document completed changes clearly; record Loom walkthroughs when required; escalate unclear requirements rather than proceeding with assumptions.
  • Client Change Management: Implement client-requested changes accurately inside GHL; coordinate with relevant team members to ensure smooth execution and quality delivery.

Qualifications

  • Education: Diploma or Degree is an advantage but not required; relevant certifications or demonstrable experience in automation tools are more important.
  • Experience: 3–5+ years of hands-on experience using GoHighLevel (GHL) and managing workflow automations, ideally in an agency or client-service environment.
  • Technical Skills: Strong working knowledge of GHL (workflows, pipelines, calendars, triggers, custom fields); familiarity with AI tools and knowledge base management; experience with OpenAI API, Zapier, or Make.com is a strong advantage.
  • Soft Skills: Highly detail-oriented with a strong habit of testing before deployment; structured thinker with an ownership mentality; clear communicator who escalates issues proactively rather than guessing; able to follow and execute SOPs independently.
  • Language: Proficient in written and spoken English with clear, professional communication skills.
