About the job Executive Assistant
POSITION OBJECTIVE
Provide direct executive support to the CEO while ensuring proper follow-up, coordination, and supervision of operational, administrative, and internal management activities across the company. The role is responsible for ensuring timely execution of tasks, meetings, projects, and internal processes, as well as supporting payroll-related updates, team follow-up, and information management through the use of digital tools, communication platforms, and management systems, in order to guarantee operational efficiency and effective internal communication
RESPONSIBILITIES
Executive Support (Primary Focus)
- Provide direct administrative and organizational support to the CEO in daily operations.
- Manage and coordinate calendars, meetings, and personal/business commitments.
- Follow up on tasks, pending items, projects, and assigned activities.
- Coordinate priorities, reminders, and execution follow-up with different teams.
- Manage emails, internal and external communications, and follow-up requests.
- Monitor progress of activities and ensure timely completion of deliverables.
- Handle confidential information with a high level of professionalism and discretion.
Administrative & Operational Support
- Follow up and monitor internal processes to ensure proper execution.
- Provide support and follow-up to team members and department leaders.
- Assist with payroll-related updates and administrative processes.
- Provide administrative support to different departments when required.
- Coordinate workflows, meetings, and operational activities.
- Identify opportunities for improvement in organization, processes, and operational efficiency.
- Ensure proper use and updating of internal tools (Drive, CRM, task management platforms, etc.
Internal Communication & Follow-Up
- Ensure proper communication and coordination across departments.
- Verify that internal processes are being properly executed by the responsible teams.
- Track and provide visibility on the status of projects, tasks, and organizational commitments.
EDUCATION
- Bachelor's degree in Business Administration, Psychology, Human Resources, or related fields.
REQUIREMENTS
- 1 to 2+ years of experience in administrative, executive assistant, or similar roles.
- Experience following up on projects, tasks, and work teams.
- Experience providing direct support to management or executive-level positions.
- Experience in administrative coordination and payroll updates management.
- Strong organizational, leadership, prioritization, and follow-up skills.
- Excellent verbal and written communication skills.
- English level C1.
- Advanced proficiency in Google Workspace (Docs, Sheets, Drive, Calendar, Gmail).
- Experience using CRM systems (HubSpot, Salesforce, Go High Level, or similar).
- Experience with project management tools (Asana, Trello, Monday, or similar).
- Ability to work in dynamic and fully remote environments
