Overview

We are seeking a highly capable and detail-oriented Executive Assistant & Operations Coordinator to work directly alongside the CEO.

This is a dynamic, high-impact role that blends executive support, content creation, and operational coordination. The ideal candidate is proactive, organised, and confident in client-facing environments, with the ability to manage multiple priorities and contribute to the smooth running of the business.

Key Responsibilities

  • Act as a trusted partner to the CEO, supporting daily operations and key initiatives
  • Join client calls and communicate confidently in fluent English, representing the business professionally
  • Create high-quality design assets (e.g. LinkedIn posts, marketing materials, internal documents)
  • Plan and execute consistent daily content, particularly for LinkedIn
  • Manage basic financial administration including quotes, invoicing, and record tracking
  • Compile and maintain monthly financial summaries and operational reports
  • Coordinate schedules, meetings, and follow-ups
  • Support general administrative and operational tasks across the business

Requirements

  • Fluent English with excellent verbal and written communication
  • Ability to work EST hours in alignment with a US-based company
  • Strong interpersonal skills with a professional, client-facing presence
  • Proven design experience (portfolio required)
  • Experience with invoicing, bookkeeping, or financial tracking
  • Highly organised with strong attention to detail
  • Ability to multitask and operate independently in a fast-paced environment
  • Comfortable working closely with senior leadership

Preferred Qualifications

  • Previous experience supporting a CEO or senior executive
  • Familiarity with LinkedIn content creation and social media management
  • Proficiency in design tools (e.g. Canva, Figma, Adobe Suite)
  • Basic understanding of business operations and reporting
