Overview
We are seeking a highly capable and detail-oriented Executive Assistant & Operations Coordinator to work directly alongside the CEO.
This is a dynamic, high-impact role that blends executive support, content creation, and operational coordination. The ideal candidate is proactive, organised, and confident in client-facing environments, with the ability to manage multiple priorities and contribute to the smooth running of the business.
Key Responsibilities
- Act as a trusted partner to the CEO, supporting daily operations and key initiatives
- Join client calls and communicate confidently in fluent English, representing the business professionally
- Create high-quality design assets (e.g. LinkedIn posts, marketing materials, internal documents)
- Plan and execute consistent daily content, particularly for LinkedIn
- Manage basic financial administration including quotes, invoicing, and record tracking
- Compile and maintain monthly financial summaries and operational reports
- Coordinate schedules, meetings, and follow-ups

Support general administrative and operational tasks across the business
Requirements
- Fluent English with excellent verbal and written communication
- Ability to work EST hours in alignment with a US-based company
- Strong interpersonal skills with a professional, client-facing presence
- Proven design experience (portfolio required)
- Experience with invoicing, bookkeeping, or financial tracking
- Highly organised with strong attention to detail
- Ability to multitask and operate independently in a fast-paced environment

Preferred Qualifications
- Previous experience supporting a CEO or senior executive
- Familiarity with LinkedIn content creation and social media management
- Proficiency in design tools (e.g. Canva, Figma, Adobe Suite)
