About the job Bookkeeper Executive Assistant
Overview:
We are seeking a highly organized and detail-oriented Virtual Assistant (VA) to support our bookkeeping and invoicing operations. The ideal candidate will have experience with QuickBooks, invoicing processes, data entry, and payment reconciliation, and be comfortable working with third-party integrations such as Telebroad.
Key Responsibilities:
Generate and send invoices to customers in a timely and accurate manner using QuickBooks (QB)
Perform data entry of financial and customer information into the accounting system
Manage reconciliation of accounts, payments, and credit card transactions
Utilize Telebroad integration to monitor alerts:
o Receive automated delivery alerts two weeks in advance
o Trigger invoicing process upon receiving alert
Follow up with clients for payment collection, including processing credit card payments
Maintain up-to-date records of customer accounts, transactions, and communications
Provide regular financial and invoicing updates to management
Assist in preparing financial reports, as needed
Qualifications:
Proven experience in bookkeeping, invoicing, or accounting support
Proficiency with QuickBooks Online
Familiarity with Telebroad or similar communication/integration tools (training can be provided)
Strong attention to detail and accuracy in data entry
Excellent organizational and time management skills Strong communication skills (written and verbal)
Ability to work independently and meet deadlines
Preferred Qualifications:
Prior experience working as a Virtual Assistant
Knowledge of online payment processing systems
Experience in logistics, delivery-based services, or scheduling coordination
