About the Role
We are seeking a highly capable and tech-savvy Executive Virtual Assistant to support a
fractional COO in managing fast-moving operations across multiple client projects. This is a high-
impact role for someone who thrives in execution, takes initiative, and can confidently handle
system setups, documentation, and detailed project tasks with minimal supervision.
Key Responsibilities
Project Management Support:
o Assist in tracking tasks, timelines, and deliverables
o Follow up on action items and maintain accountability across projects
System Setup & Maintenance:
o Support setup of tools like CRM, POS, or reporting systems
o Troubleshoot and update systems as needed
o Coordinate with vendors and tech providers
Data Entry & Documentation:
o Enter and organize large data sets, often in Google Sheets
o Customize reports, templates, and client documentation
o Maintain internal documentation with clear, organized updates
Scheduling & Administrative Tasks:
o Schedule meetings, maintain calendars, and manage reminders
o Draft internal emails and support light outbound communication
o Assist in setting up workflows and recurring admin systems
Ideal Candidate Profile
2+ years of experience in an executive assistant, operations, or project support role
Strong proficiency in Google Sheets, Google Workspace, and general tech tools
Experience setting up or maintaining systems (e.g., CRM, POS, task/project tools)
Strong problem-solving skills able to work independently and figure things out
Detail-oriented with excellent organizational and communication skills
Comfortable with dirty work like data entry and fixing messy systems
Familiarity with AI tools (e.g., ChatGPT) is a plus
