About the Role

We are seeking a detail-oriented and highly organised Scheduling & Invoicing Coordinator to support our operations team. This role requires strong accuracy, consistency, and the ability to manage both scheduling processes and vendor invoice verification in a fast-paced environment.

Key ResponsibilitiesScheduling

  • Accurately capture and maintain all scheduling information within internal systems
  • Review schedules for errors and ensure all data is correct and up to date
  • Follow structured, step-by-step processes with precision and consistency
  • Adapt quickly to new tools, workflows, and operational changes
  • Manage multiple scheduling tasks while prioritising effectively

Invoicing & Vendor Coordination

  • Process biweekly invoices for independent contractors/vendors
  • Review submitted invoices and reconcile them against internal system records
  • Identify and resolve discrepancies in billing or recorded hours/services
  • Prepare and maintain structured spreadsheets for finance processing
  • Liaise with internal teams to ensure accurate and timely vendor payments

  • Respond to emails promptly with clear and professional communication
  • Maintain high levels of organisation and reliability in all tasks
  • Support operational efficiency through attention to detail and process adherence

Preferred Experience

  • Previous experience in scheduling, operations coordination, or administrative roles
  • Experience working with spreadsheets (e.g., Excel or Google Sheets)
  • Exposure to invoicing, reconciliation, or finance support processes
