Role Summary
Associate, Immigration and Mobility provides day to day administrative and coordination support to the Immigration and Mobility team. This role is responsible for preparing and processing paperwork related to immigration and mobility cases, acting as the first point of contact for client and employee phone enquiries, and providing general support to the Team Lead.
Key Responsibilities
Paperwork & Case Documentation
- Prepare, organize, and process documentation for Employment Passes, Dependent Passes, and other immigration applications for expatriates.
- Compile and verify supporting documents for accuracy and completeness before submission, ensuring cases are progressed within set timelines.
- Maintain and update case trackers/databases, including application status, expiry dates, and renewal schedules, flagging upcoming deadlines to the team.
- Liaise with the Immigration Department of Malaysia, the MYXpats Centre (Expatriate Services Division), and other relevant government agencies to submit, follow up on, and collect applications.
- Handle filing, scanning, data entry, and document dispatch (courier/collection) related to immigration case files.
Client & Stakeholder Support
- Act as the first point of contact for incoming phone calls from clients and employees regarding immigration and mobility matters.
- Respond to routine enquiries professionally and promptly, and escalate complex or sensitive matters to the Team Lead.
Team & Administrative Support
- Provide general administrative support to the Team Lead and the wider Immigration and Mobility team, including scheduling appointments and managing calendars.
- Assist in preparing reports, correspondence, and client-facing documents as required and support ad hoc projects and process improvement initiatives within the team.
Education & Experience
- Fresh graduates are encouraged to apply, no prior working experience is required, and training will be provided.
- Diploma or Bachelor's Degree in Business Administration, Human Resources, or a related field.
- Candidates with prior experience in administration, HR shared services, immigration or mobility are also welcome to apply.
- Familiarity with Malaysian immigration processes, including Employment Pass, Professional Visit Pass, Dependent Pass, MM2H and Spouse Visa, is an added advantage but not essential.
- Good written and verbal communication skills in English and Bahasa Malaysia; proficiency in Mandarin or other languages is an added advantage.
