Sales Administrator Graduate Intern X 2
This role is suitable for recent graduates who are starting their careers insales administration, ICT business support, tender administration and client service coordination. The internship provides practical workplace exposure to ICT sales processes, supplier coordination, proposal preparation, Namibia tender application requirements and general office administration.
Responsibilities
- Assist with maintaining client records, sales files, quotations and supporting documents.
- Support the preparation of basic quotations under supervision.
- Assist with updating sales trackers, pipeline records and client contact lists.
- Help ensure that all sales documentation is complete, accurate and properly filed.
- Follow up internally on outstanding documents, pricing inputs, supplier information and client details.
- Assist with preparing tender packs for Namibia tender applications.
- Compile administrative documents, company registration documents, good standing certificates, tax documents, references and other required attachments.
- Maintain tender compliance checklists for each submission.
- Assist with formatting, printing, scanning, binding, labelling and packaging tender documents.
- Track tender deadlines and remind responsible team members of upcoming submissions.
- Support the filing of submitted tenders and keeping copies of final submissions.
- Assist with sending and following up on emails to clients, suppliers and internal team members.
- Request pricing, product information, stock availability and lead times from suppliers under supervision.
- Assist with scheduling client meetings, internal sales meetings and tender preparation sessions.
- Record client queries and refer them to the correct person.
- Update sales trackers, tender registers, quotation logs and activity reports.
- Assist with preparing weekly or monthly sales administration summaries.
- Ensure documents are saved correctly on the company filing system.
- Attend internal training, product briefings and coaching sessions as required.
- Learn ALTUS ICT's service offering, partner brands, client sectors and internal sales processes.
- Support ad hoc sales, marketing, administrative and client service tasks assigned by the supervisor.
Requirements
- Diploma or Degree in Business Administration, Marketing, Office Administration, Sales, Information Technology, Public Administration, or a related field.
- Recent graduate with limited or no formal work experience.
- Exposure to administration, sales support, customer service, procurement or tender documentation will be an advantage.
- Basic understanding of ICT products and services will be an added advantage.
- Basic knowledge of Namibia tender processes, procurement documentation or public sector submissions will be an advantage, but is not mandatory.
- Computer literate with working knowledge of Microsoft Word, Excel, Outlook, PowerPoint and Teams.
- Valid driver's licence will be an advantage, but is not mandatory.
Technical Competencies
- Basic understanding of sales administration and client support processes.
- Ability to prepare, file, scan, organise and track documentation accurately.
- Basic knowledge of quotations, purchase orders, invoices, delivery notes and client records.
- Ability to support tender document preparation.
- Ability to follow instructions and work according to deadlines.
- Good written and verbal communication skills.
- Basic report writing and email drafting skills.
- Strong attention to detail, especially when working with tender and client documents.
- Ability to use Microsoft 365 tools effectively.
- Willingness to learn about ICT solutions, including cybersecurity, networking, managed services, hardware, software, AV solutions, surveillance, data centre solutions and Microsoft 365.
