Job Description Hotel Administrator
Purpose of Position:
- Supports all departments with administrative tasks and daily operational needs.
- Ensures smooth execution of guest and crew-related documentation, upholding Vikings STAR Service Standards.
- Maintains a guest-oriented service culture, enhancing guest satisfaction and operational efficiency.
Responsibilities:
- Serve as the main contact for Department Heads regarding printing requests and administrative tasks.
- Assist the Assistant Cruise Director in preparing the Viking Daily newsletter and ensure accuracy before distribution.
- Print and process guest questionnaires.
- Take minutes during meetings when required.
- Create templates for special request reports, such as gift orders and shipboard credits.
- Prepare guest lists, cocktail invitations, and special notes from ship management.
- Print guest folios at the end of the cruise or as required.
- Personalize commemorative certificates for all guests and coordinate their distribution.
- Manage the Hotel Admin departments stationery orders for each cruise.
- Participate in The Daily Reunion, aligning with team operational needs.
- Wear Personal Protective Equipment (PPE) and follow safety guidelines.
- Maintain professional grooming standards per Vikings Image and Uniform Policies.
- Secure company property, particularly during rough weather conditions.
- Demonstrate flexibility and adaptability, maintaining a positive attitude under pressure.
- Gain knowledge of ports of call, shore excursions, and onboard activities.
- Support achieving Hotel Administration Department financial and quality goals.
- Follow safety and security procedures, participating in fire prevention and evacuation drills.
- Assist in other departments and perform additional duties as assigned.
Qualification (Your Profile)
- Minimum 1 year of administration experience in a premium hospitality operation.
- Shipboard experience is preferred.
- Fluent in English strong verbal and written communication skills.
- Ability to speak additional languages is an advantage.
- Flexible, stress-resistant, team player, with a strong work ethic.
- Detail-oriented and able to meet strict deadlines.
- Advanced administrative skills, including proficiency in PC-based databases, spreadsheets, and word processing.
- Guest-focused, service-oriented, with a professional appearance and impeccable hygiene standards.
