Job Summary

The Administrative Officer (Reception) ensures the professional, efficient, and welcoming delivery of reception and front desk services at ACT and Anatolia American University. Reporting to the Coordinator of Administrative Operations, this role serves as a primary operational contact for students, faculty, staff, visitors, and external stakeholders.
In addition to reception duties, the Officer provides administrative and academic support, coordinates logistics, facilitates accurate information flow, and supports emergency response protocols in alignment with institutional procedures. The position requires strong organizational skills, attention to detail, adaptability, and a service-oriented approach.

Reports to: Coordinator, Administrative Operations, Safeguarding and Service Learning
Contract Details: Full-time, definite duration from July 1, 2026 to July 31, 2027. Working Hours are Monday - Friday, 9 am - 5 pm.

Essential Duties and Responsibilities

  • Serve as the first point of contact for students, faculty, staff, and visitors, ensuring a professional and welcoming reception experience.
  • Manage central phone lines, reception email accounts, campus mail distribution, and referral of inquiries to relevant offices.
  • Provide administrative support aligned with departmental priorities.
  • Support preparation and organization of materials for the Open University Exam Board.
  • Monitor faculty contract completion, verify signatures, and coordinate with HR on pending documentation.
  • Maintain digital databases for classroom and exam schedules, reservations, and faculty office hours.
  • Process faculty proctoring requests and coordinate coverage with the Student Services Office.
  • Support the Executive Assistant to the Provost with visitor logistics, including transportation, catering, and scheduling.
  • Manage lost and found operations.
  • Track office supply inventory and submit purchase requests.
  • Issue guest IT accounts for alumni, visitors, and special program participants.
  • Coordinate cleaning, maintenance, and printer service requests through TEKMON.
  • Serve as a safety point of contact for designated areas during emergencies.

Educational Background and Experience

  • Bachelor's degree required.
  • Previous experience in administrative support, customer service, or front desk operations preferred.

Skills, Knowledge and Abilities

  • Languages: Fluency in English and Greek; additional languages an asset.
  • Technical Skills: Proficiency with Google Drive, Excel, copiers/printers, ERP and scheduling systems.
  • Soft Skills: Strong communication, teamwork, adaptability, attention to detail, time management, and ability to meet deadlines in a service-oriented environment.
