Full-time, two-year contract
Monday to Thursday, 8:30am to 6:00pm;
Friday, 8:30am to 5:30pm; one-hour lunch break

The Senior Recruitment Executive supports recruitment administration, temporary staff management and broader HR administration. The role requires a highly organised HR operations professional who can coordinate multiple hiring activities, maintain accurate records, prepare approval submissions, verify invoices and produce reliable manpower data in a fast-paced environment.

Responsibilities
Recruitment Administration

Post job advertisements on approved career and job portals.
Review and filter applicants' resumes for hiring managers' shortlisting.
Coordinate and schedule interviews, liaising with hiring managers and candidates to clarify information and resolve queries.
Administer interview assessments and collect documents required for interviews and hiring.
Conduct candidate reference checks.
Record, update and track candidates throughout the interview process.
Administer the Employee Referral Programme, including referrals, successful-hire tracking, paperwork and referral reward payments.
Support other recruitment administrative work as assigned.
Temporary Staff Management

Coordinate with recruitment agencies to activate temporary hiring requirements.
Monitor the interview and selection process for candidates recommended by recruitment agencies.
Prepare written submissions for approval to hire temporary staff.
Track temporary staff contract periods and expiry dates and prepare extension submissions where required.
Coordinate onboarding and offboarding with reporting officers, recruitment agencies and the internal ICT department.
Coordinate leave clearance and prepare leave-encashment approval submissions where required.
Verify monthly invoices submitted by recruitment agencies.
Support annual temporary manpower budgeting and monitor budget utilisation.
Support periodic reviews of temporary staff salary rates and related work.
HR Administration and Reporting
Raise payment vouchers through TenderBoard for vendors' invoices and approval processing.
Create forms and templates to streamline work processes.
Conduct desktop research on assigned HR subjects.
Organise HR information and data for efficient retrieval and reference.
Update and track data for annual budgeting and half-yearly or periodic reporting.
Extract and prepare manpower-related data for reports, manpower surveys and related submissions.

Requirements

Diploma in HR or related discipline.
At least five years of experience providing operational and administrative support to HR departments.
Strong initiative, ability to work independently and willingness to contribute as a team member.
Ability to manage multiple priorities in a high-volume and fast-paced environment.
Good communication, interpersonal, coordination, time-management and organisational skills.
Proficiency in Microsoft Office, data analysis and reporting.
Adaptability and willingness to learn new skills, including the use of AI tools to improve work efficiency.

The ideal candidate should have..

Hands-on experience coordinating recruitment and HR operations rather than only agency sales or candidate sourcing.
Experience managing temporary or contract staff records, agency invoices, contract expiries or manpower budgets.
Comfort preparing approval papers, trackers and management reports using confidential HR information.
Strong Excel capability and a clear record of improving processes through forms, templates, automation or AI-assisted workflows.
