Full-Time, 2-years contract

Monday to Thursday, 8:30am to 6:00pm;
Friday, 8:30am to 5:30pm; one-hour lunch break.

The Training Administration Executive provides end-to-end administration for staff learning activities. The role manages course registration, training portals and trackers, invoices and funding documents, event logistics, staff queries, purchase administration and learning statistics. It suits an organised HR or learning-and-development administrator who is accurate, responsive and comfortable using digital collaboration tools.

Responsibilities
Learning Event Registration

Create and maintain the course catalogue in the training portal.

Check the shared training inbox daily for learning-event approval status and required follow-up.

Register staff for courses, events and conferences by liaising with learning providers, issuing registration links for Singpass verification, tracking registration and confirming attendance.

Ensure learning providers communicate event confirmation to staff several working days before each event.

Manage rescheduling and cancellation requests and update affected staff promptly.

Process training invoices within the required deadline, ensuring applicable subsidies or grants such as SSG funding are applied and supporting records are complete.

Learning Operations and Administration

Provide logistical and administrative support for centrally managed learning events, including materials, room setup, attendance, refreshments and on-site support.

Operate or support digital engagement platforms such as Pigeonhole and Mentimeter during learning events.

Respond to staff queries on training matters.

Update learning-event status in the team's master training tracker.

Administer the new-hire curriculum, including scheduling, workshop logistics, refreshments and invoice processing.

Raise purchase requests and purchase orders for training events and purchases.

Support updates to functional competencies and learning roadmaps under the team's supervision.

Training Statistics and Records

Collate learning statistics across Core, Functional and Leadership competencies.

Maintain data for high-priority capability areas.

Prepare accurate learning data for management reporting and periodic reviews.

Requirements

Diploma in any discipline.

At least three years of experience providing operational and administrative support to HR departments.

Ability to work independently with minimal supervision on routine tasks while contributing as a team member.

Proactive in seeking clarification from colleagues when tasks are unclear or new.

Good written and verbal communication skills.

Good time management and strong attention to detail.

Proficiency in Outlook, Excel and PowerPoint.

Comfort using collaboration and learning tools such as Microsoft Forms, Microsoft Teams, SharePoint, Kahoot and Mentimeter.

The ideal candidate should have:

Hands-on experience with course registration, learning operations, training trackers or a learning-management system.

Experience checking training invoices, attendance records and funding or subsidy documents.

Ability to manage multiple event dates, provide confirmations, participant lists and last-minute changes without losing the audit trail.

Comfort supporting physical and virtual learning events and resolving basic digital-platform issues.

Strong accuracy in data collation and management reporting.
