Job Summary

The HR Shared Services Executive provides day-to-day HR administrative and operational support to Group entities and assigned external clients. The role focuses on accurate processing of HR transactions, maintenance of employee records, and timely delivery of HR shared services including HR administration, payroll support, benefits administration and training administration, in accordance with established policies, SOPs and service standards.


Successful applicant with higher calibre may be offered HR Shared Services Senior Executive.  The appointment level will be commensurate with experience, capability, and scope of responsibilities.

Key Responsibilities

 HR Administration & Employee Lifecycle Support

  • Prepare employment contracts, amendments, confirmations and standard HR letters
  • Support onboarding and offboarding administration, including documentation tracking
  • Maintain accurate employee records and personnel files
  • Update employee information in HR systems in a timely manner

Payroll & Benefits Support

  • Prepare monthly payroll inputs such as allowances, leave deductions and overtime
  • Support payroll processing, checking and reconciliation activities
  • Assist in administration of employee benefits and claims
  • Track benefit enrolments, terminations and claims documentation

Leave & Attendance Administration

  • Administer leave applications and maintain leave balances in HR systems
  • Track medical certificates and attendance records
  • Support collation of time and attendance data where applicable


Training & Development Administration

  • Provide administrative support for training and development activities for Group entities and assigned external clients
  • Coordinate training course registration, scheduling and attendance tracking
  • Maintain accurate training records and documentation in HR systems or trackers
  • Support collation of training feedback and post-training documentation
  • Assist with training-related claims submission and reimbursement processes
  • Support preparation of basic training reports and summaries
  • Coordinate with training vendors or internal stakeholders on administrative matters

HR Enquiries & Support

  • Respond to routine HR queries from employees and clients within defined scope
  • Escalate complex or sensitive matters to HR Shared Services Lead
  • Ensure professional, accurate and timely communication

Reporting & Documentation

  • Assist in preparation of HR reports and data summaries
  • Support audit and compliance documentation
  • Maintain HR templates, forms and checklists as instructed

Key Requirements

  • Diploma or Degree in Human Resources, Business Administration or related field
  • Minimum 3 years of HR administrative or HR operations experience
  • Exposure to payroll, HR documentation and training administration preferred
  • Strong attention to detail and accuracy
  • Comfortable working in a structured, process-driven environment
  • Familiar with HRMS, preferably QuickHR

  • External client organisations, within agreed HR shared services scope and service levels

Authority & Governance

  • This role does not carry decision-making authority on employment matters
  • All employment decisions, policy interpretations and approvals remain with:

    • Group HR (Singapore), or
    • The respective employing entity
  • The HR Shared Services function is responsible for execution, coordination and administrative support only
