JOB PURPOSE:

The Technical Records Assistant is responsible for meticulously registering and controlling both digital and physical records related to aircraft, including but not limited to Aircraft Registration, Airworthiness Directives, Service Bulletins, Engineering Orders, Compliance with MPD Cards, Structural Damage Control Charts, Controlled Components, Condition-Monitored Components, and Flight Logs. The role ensures seamless access to compliance and traceability records at any given time, contributing to the overall efficiency of the organization's aviation processes.

KEY ACCOUNTABILITIES: 

Documentation Management

  • Review with accuracy and attention to detail all the technical records as per the established procedures and policies.
  • Index digital and physical records by aircraft registration and categorize them according to specific elements such as Airworthiness Directives, Service Bulletins, Engineering Orders, MPD Compliance Cards, Maintenance Compliance task cards, Structural Damage Control Charts, Controlled Components, Condition-Monitored Components, and Flight Logs.
  • Implement efficient processes for organizing, categorizing, and archiving documentation to facilitate easy retrieval.
  • Organize records systematically and manage large amounts of information and documents efficiently.
  • Oversee the registration and control of digital and physical documentation in accordance with established processes and procedures.
  • Maintain a systematic control of documentary discrepancies, ensuring timely resolution and accuracy.

Communication skills

  • Communicate effectively with engineers, technicians, and regulators for both auditing process and discrepancy management and administration.

Compliance Assurance

  • Ensure compliance within and across the organization with relevant policies and regulations.
  • Mitigate the risk of audit findings, regulatory breaches, and financial exposure by maintaining strict adherence to standards.
  • Participate in the preparation of internal and external audits, ensuring that records are organized and available for review.

Regulatory and Other

  • Ensure compliance in own area and across Arajet with policies and regulations where applicable in order to safeguard the company from any high-risk audit findings, regulatory breaches and company exposure with negative financial implications.


QUALIFICATIONS, EXPERIENCE, & SKILLS

  • Technician, technologist or professional in document management, business administration, business auditing, or related field.
  • Previous experience in roles related to the management of technical records preferably in the aviation industry.
  • Ability to maintain accurate and complete records with meticulous attention to detail.
  • Proficiency in scanning technologies and document auditing.
  • Proficiency in the use of computer systems and software for technical record management, especially those in the Microsoft Office suite.
  • Clear and effective communication skills to collaborate with maintenance teams, regulators, and another team.
  • Ability to efficiently manage time and tasks, prioritizing responsibilities effectively.
