Summary:

We are looking for an Administrative Assistant for our Operations Team. The Administrative Assistant will be responsible for providing support cross functionally to all departments. The ideal candidate is eager to learn, adaptable, able to multitask, and organized.


Responsibilities:

  • Monitoring email, answering phone calls, shipping, data entry, presentation making
  • Develops and maintains accurate spreadsheets to assist with generating reports
  • Manage Outlook calendar appointments/meetings
  • Prepare and edit letters, memos, quotes, and other correspondence
  • Sample management - ensure samples sent to customers are labeled, processed, shipped, and delivered on time
  • Maintain showrooms to be professional, organized, and visually appealing for meetings
  • Prepare conference room for meetings and run through tech to ensure smooth usage
  • Understand functionality of products to assist with sales presentations (PowerPoints)
  • Produce, revise, and refine formal sales presentation materials using PowerPoint & other materials
  • Plan company events / make travel arrangements
  • Other responsibilities and special projects may be assigned


Qualifications:

  • Excellent written, verbal, and listening skills
  • Advanced proficiency in Microsoft Office Suite (PowerPoint, Excel, Outlook)
  • (+BONUS) Bilingual proficiency in Spanish
  • Enterprising: Eager to learn and improve, customer-centric, proactive.
  • Adaptable: Able to prioritize based on changing needs. Take initiative with limited information.
  • Analytical: Break down and assess situations, critical thinking, make data-driven decisions.
