Role Overview

We are looking for a highly organized, professional, and proactive individual to serve as Executive Assistant to both the President and Rector of the American University of Technology (AUT) in Tashkent. This is a critical role at a fast-growing startup university where the ability to manage complex schedules, sensitive communications, and high-level priorities will make a real difference. You will be at the heart of AUTs executive office, helping ensure that the President and Rector can focus on leading the universitys' mission, while you keep everything running smoothly behind the scenes.

Key Responsibilities

1. Executive Support

  • Manage the daily calendars of both the President and Rector, ensuring efficient scheduling across time zones, partners, and internal teams.
  • Coordinate meetings, prepare agendas, and ensure follow-ups are completed.
  • Act as a point of contact between the executive office and internal/external stakeholders, always maintaining confidentiality and professionalism.

2. Communication & Correspondence

  • Draft, edit, and translate correspondence (in English, Uzbek, and Russian where needed) on behalf of the President and Rector.
  • Manage incoming communication and prioritize as appropriate.
  • Support the preparation of speeches, presentations, talking points, and briefing notes for internal and external engagements.

3. Travel & Event Coordination

  • Organize domestic and international travel: visas, flights, accommodation, itineraries, and local logistics.
  • Help coordinate high-level events, visits, and meetings with government officials, university partners, and international guests.

4. Office and Project Administration

  • Maintain accurate records and files (digital and physical), including confidential documents.
  • Assist with expense and basic budget tracking related to the executive office.
  • Provide support on key projects led by the President or Rector, including preparation of reports, summaries, and background materials.

5. Liaison and Relationship Management

  • Serve as a reliable liaison between the executive office and university departments, board members, partner institutions, and government entities.
  • Represent the executive office with a high degree of professionalism, tact, and discretion.

Requirements:

  • A university degree (preferably in business administration, communication, international relations, or a related field).
  • Minimum 3 years of experience as an executive assistant or in a similar high-level administrative role.
  • Fluent in English, Uzbek, and Russian - both spoken and written.
  • Strong writing skills, with the ability to draft professional emails, letters, and short reports.
  • Advanced organizational skills with a talent for managing multiple tasks and deadlines.
  • Discretion, reliability, and a high level of personal integrity.
  • Ability to work independently, handle confidential matters, and adapt quickly to changing priorities.
  • Strong computer skills, including Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and online meeting tools (Zoom, Teams).
