Key Responsibilities

  • Provide administrative support to the Chief of the Representative Office, including managing correspondence, scheduling meetings, and maintaining filing systems
  • Coordinate and liaise with external advisors (including legal councils) on matters related to taxation, BKPM, and employment reporting to ensure compliance, where applicable
  • Ensure timely submission of compliance reports, including but not limited to:
    • Activity reports via the OSS system
    • Annual employment and foreign employment reports to the Ministry of Manpower
    • Perform basic accounting and bookkeeping activities for the Representative Office
    • Prepare monthly financial reports (including expense summaries for cost center X00605 Axiata Indonesia Office, bank reconciliation and budget vs actual analysis) for submission to the headquarters
    • Support preparation of management reports or other ad-hoc reports (including any tax related matters) as required
    • Liaise with headquarters finance team for payment processing and monitor local bank balance and ensure sufficient funds for operational needs. Any fund transfer request to be made 5 working days prior to transaction. Payment cycle is scheduled twice a month
    • Monitor and maintain accurate records of all expenditures relating to Representative Office for audit and compliance purposes 
    • Prepare and submit monthly tax returns and arrange for payment to the Indonesian Tax Office before the due dates for the Representative Office (including WHT)
    • Self-assess VAT on the purchase of foreign services and arrange for payment to the Indonesian Tax Office before the due date
    • Manage annual tax returns submission for the Representative Office, including preparation of annual financial statements (where applicable) 
    • Attend to tax queries from Indonesian Tax Office, where applicable
    • Handle the Chief of Representative Office's personal annual tax reporting, where applicable
    • Provide payroll support, including salary processing and office lease payments
    • Oversee and manage daily office operations, ensuring functionality of office equipment, supplies, and facilities
    • Perform other administrative tasks as assigned by the Chief of the Representative Office

Person Specifications

  • Bachelor's degree in Business Administration, Accounting, Finance, or a related field
  • Minimum 5 years of experience in administrative, accounting, or compliance roles
  • Familiarity with local regulatory requirements (e.g. OSS system, BKPM, and Manpower Ministry reporting)
  • Experience in tax reporting and basic financial statement preparation.
  • Strong organizational and communication skills
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • High level of integrity, discretion, and professionalism
  • Experience working in a multinational or representative office environment
  • Knowledge of Indonesian labor and tax regulations
  • Ability to work independently
