Our client is a luxury full-buy-out private villa estate in East Bali, known for hosting weddings, retreats, brand takeovers, and private events offering an exclusive blend of design, privacy, and high-end hospitality.

They are seeking a highly organized and proactive Personal Assistant to the Owner to manage administrative priorities, coordinate communications, and support the planning and execution of events, guest stays, and special projects with discretion and efficiency.

Requirements:

  • Minimum 3 years of experience as a Personal Assistant / Executive Assistant, preferably supporting senior executives, entrepreneurs, or property owners in hospitality or lifestyle businesses.
  • Highly organized with strong ability to manage complex schedules, travel arrangements, and priorities across different time zones.
  • Experience handling confidential matters with discretion and professionalism.
  • Strong coordination skills to liaise with internal teams, external partners, and VIP guests on behalf of the owner.
  • Ability to support event planning and logistics, including private functions, guest stays, and special requests.
  • Excellent written and verbal communication skills in English; additional languages are a plus.
  • Proficient in administrative tools (Google Workspace, Microsoft Office, etc.) with strong attention to detail.
  • Flexible, proactive, and able to work in a fast-paced, high-expectation environment.
  • Strong sense of ownership, responsiveness, and problem-solving mindset.
  • Based in Bali or willing to relocate, with flexibility in working hours in line with business and scheduling needs.

Key Responsibilities:

  • Provide comprehensive administrative support to the owner, including calendar management, scheduling, and travel arrangements.
  • Act as a gatekeeper and liaison, managing communication between the owner, internal teams, external partners, and VIP guests.
  • Coordinate and support private events, guest stays, and special projects on behalf of the owner.
  • Handle confidential documents, reports, and correspondence with a high level of discretion.
  • Assist in monitoring and following up on operational matters, ensuring tasks and projects are executed as directed.
  • Prepare reports, presentations, and summaries as required by the owner.
  • Support in vendor coordination, bookings, and procurement-related tasks when needed.
  • Anticipate the owner's needs and ensure smooth day-to-day workflow and prioritization.
  • Manage ad hoc tasks and last-minute requests with flexibility and efficiency.
  • Maintain a high level of professionalism, responsiveness, and attention to detail in all interactions.
