Our client, a well-established real estate company in Bali specializing in property sales and villa development, is seeking a highly organized and proactive Executive Assistant to provide high-level administrative and operational support to senior management, ensure smooth daily business operations, and contribute to efficient communication, coordination, and workflow management across the organization.

Requirements
:

  • Minimum 3 years of experience as an Executive Assistant, Personal Assistant, or similar administrative role.
  • Previous work experience with a property or real estate agency is beneficial.
  • Strong organisational and time management skills with close attention to detail.
  • Excellent communication skills in English (written and verbal).
  • Proficient in Microsoft Office / Google Workspace and office management tools.
  • Ability to multitask, prioritise tasks, and work in a fast-paced environment.
  • High level of professionalism, discretion, and confidentiality.
  • Strong problem-solving ability and proactive working attitude.
    

Key Responsibilities :

  • Manage executive calendars, meetings, appointments, and travel arrangements.
  • Handle correspondence, emails, reports, and documentation with professionalism and confidentiality.
  • Coordinate internal teams and external stakeholders, including clients, partners, and vendors.
  • Prepare presentations, meeting materials, and business reports as required.
  • Support operational workflows and ensure deadlines and priorities are effectively managed.
  • Maintain organized filing systems and accurate record-keeping.
  • Assist in special projects and ad-hoc tasks assigned by management.
  • Act as a key communication bridge between management and departments.
  • Strong research capabilities to gather information and data on various real estate and business-related topics.
  • Ability to assist the CEO in negotiations with suppliers, partners, and vendors.
  • Basic understanding of legal procedures and documents,
  • Willingness and capability to assist in project management tasks, including tracking progress, coordinating with teams, and ensuring project deadlines are met.
  • Strong problem-solving skills and the ability to work independently.
  • Excellent in using common office software and digital communication platforms.
  • Excellent interpersonal and communication skills to interact with a variety of stakeholders.
