Asset Assistant
Location: Various Offshore / Onshore Projects
Mission
The Asset Assistant supports the Local Management Team by coordinating asset administration, maintenance documentation, digital asset systems, and office operations. The role ensures that maintenance records, technical documentation, and asset management tools remain accurate and up to date while providing administrative support to site management and liaising with the Home Office.
Key Responsibilities
- Provide administrative and operational support to the Local Management Team.
- Maintain and update computerized maintenance management systems (CMMS) and other digital asset management tools.
- Support maintenance planning, work order management, and follow-up of maintenance activities.
- Monitor maintenance work orders, equipment failures, and damage reports, escalating critical issues when required.
- Assist with Management of Change (MoC) documentation and ensure registers are updated and actions are closed on time.
- Support facility maintenance management and execution activities.
- Prepare and manage employee timesheets.
- Create and maintain material requests and supporting documentation.
- Maintain and update the site Document Management System in coordination with the Local Management Team and Home Office.
- Prepare, review, and update site documentation, including procedures, manuals, forms, checklists, and work instructions.
- Maintain asset action trackers and report technical or management issues to the relevant departments.
- Upload and organize technical documentation within company systems.
- Maintain registers for marine rigging equipment and wire rope certificates.
- Manage office stationery, printer consumables, and inventory.
- Provide general office and clerical support to ensure efficient site operations.
Requirements
- Previous experience in an administrative, asset management, maintenance support, or technical coordination role.
- Experience working with CMMS or other maintenance management systems is an advantage.
- Good organizational skills and attention to detail.
- Proficiency in Microsoft Office, particularly Excel.
- Ability to manage documentation and multiple priorities effectively.
- Good communication skills and ability to work with multidisciplinary teams.
- English language proficiency suitable for an international working environment.
