The role holder is responsible in supporting the Construction Project Delivery (CPD) team in project implementation, focusing on project documentation, coordination, tracking, and procurement support.
Roles & Responsibilities:
Project Administration and Coordination Support
- Support project managers in project delivery and project site visits activities
- Assist in coordinating project-related events and key activities, including liaising with internal and external stakeholders, supporting event arrangements, and assisting in event arrangements where required.
Project Documentation and Records Management
- Manages the end-to-end lifecycle of project documentation (PD) — including filing, version control, archiving, and retrieval (digital & physical).
- Maintaining communication logs and assisting in basic correspondence.
Project Tracking and Information Management
- Maintains and updates project trackers, timelines, and spreadsheets using tools such as MS Project
- Compiling progress updates on deliverables and expenditure based on input from project managers.
Procurement Support
- Handles the compilation and organise of procurement documents (quotations, proposals, tenders), prepares price comparison tables, and maintains related records including contracts and purchase orders.
- Assist with contract binding and liaises with relevant departments for tender advertisement launches.
Budget Tracking and Reporting Assistance
- Compiles monthly expenditure updates, tracks budgets and payments, maintains cost spreadsheets, and performs basic checks on bid submissions and invoices.
Technical Support
- Assists with basic AutoCAD tasks, prepares presentation materials.
Meeting Coordination
- Schedules meetings, prepares materials, records minutes, and follows up on action items.
Key Requirements:
- Higher National Diploma (HND) / Level 5 Diploma in Business Administration, Engineering or related discipline
- Minimum 1 year of relevant experience in administrative, finance, project support/coordination roles.
- Able to communicate effectively in English and Bahasa Melayu, both verbally and in writing.
- Proficient in Microsoft Office applications (Word, Excel, and PowerPoint).
- Experience in project documentation, coordination or support roles is preferred.
- Familiarity with project tools (e.g. Microsoft Project, Time.Graphics) or AutoCAD for viewing or plotting drawings is an advantage.
- Demonstrates strong organisational skills and meticulous attention to detail.
