About the job Accounting Assistant
Responsibilities
- Issue invoices and credit notes promptly and accurately
- Verify quotations and obtain approvals from the Operations Manager and General Manager
- Email invoices and Statements of Accounts (SOA) to customers
- Input and manage invoice data in Excel across two companies
- Review Excel entries and resolve discrepancies with sales staff
- Respond to customer queries via WhatsApp and phone regarding invoice settlements
- Prepare monthly reports including sales, credit notes, and salesperson performance
- Assist with monthly accounting requests
- File invoices for selected customers in designated folders
- Support ad-hoc billing and reporting tasks as needed
- Answer incoming phone calls when the Customer Liaison & Operations Coordinator is engaged
Requirements
- Prior experience in billing, accounts, or administrative support preferred
- Strong attention to detail and accuracy in handling numerical data
- Proficient in Microsoft Excel and comfortable working with multiple spreadsheets
- Good written and verbal communication skills
- Ability to liaise effectively across departments
- Organized, dependable, and capable of managing time efficiently
- Positive attitude and team-oriented mindset
