Position: Chief of Staff Family Office & Multi-Property Operations
Reports To: Principals / Family Office Executive
Location: San Francisco (full-time, on-site, regular travel to Tahoe properties)
Compensation: $300,000$375,000 + comprehensive benefits
About the Role
A distinguished San Francisco family office seeks an exceptional Chief of Staff to direct all household operations and manage multiple luxury properties. This role is the operational cornerstone for a Principal with significant community leadership responsibilities, enabling the family to focus on what matters most while ensuring stress-free, five-star lifestyles across several homes.
Key Responsibilities
- Oversee and maintain San Francisco-area residences and Tahoe properties, ensuring every property is guest-ready and operates to the highest standards
- Develop comprehensive property manuals, operational protocols, and streamlined inventory management systems
- Lead, recruit, and develop a high-performing household team: workforce planning, recruiting, onboarding, and performance management
- Strategically coordinate and optimize all property operations with a behind-the-scenes approach and exceptional attention to family privacy
- Implement, manage, and optimize digital project management, scheduling tools, and secure communications platforms (Trello, Google Workspace, Signal)
- Anticipate Principal needs and operate with minimal oversight, proactively managing logistics, solving issues, and maintaining high service standards
- Manage vendors, contracts, and service providers for both routine and specialized household projects; oversee sophisticated travel arrangements for family and staff
- Supervise household budget management, contract negotiation, expense tracking, and financial optimization, ensuring cost effectiveness without sacrificing quality
- Uphold rigorous confidentiality and physical/digital security standards, including privacy protocols and password/asset protection
- Provide comprehensive executive travel support: preparation, logistics, staff/vendor coordination, and, if needed, trip accompaniment
Must-Have Skills & Experience
- Minimum 10 years progressive leadership in estate management, luxury hospitality, or ultra-high net worth family office environments
- Expertise managing multiple homes/properties and complex staffing (recruitment, training, development, performance)
- Major strength in digital systems, project management platforms, and secure communications (Trello, Google Workspace, Signal, etc.)
- Proven high-level property management, guest readiness, vendor negotiation, and luxury service standards
- Strong financial and operational acumen: budgeting, contracts, reporting, cost optimization
- Ability to travel regularly to Tahoe and other properties for operational oversight
- Advanced discretion/confidentiality; comprehensive understanding of privacy and security for high-profile principals
- High-level emotional intelligence, collaborative leadership, and proven problem-solving in dynamic settings
- Experience working with families, understanding of childrens needs, and ability to set healthy professional boundaries
Preferred Qualifications
- Prior experience as founding/founding-team Chief of Staff for a family office or multi-property environment
- Experience developing benefits and payroll infrastructure
- Successful track record implementing property documentation and operational systems from scratch

- Extensive multi-property, UHNW family office, or principal-facing Chief of Staff experience (minimum 10 years)
- Direct hands-on leadership with recruiting, building, and developing high-performing domestic teams
