Job Summary:
The Administrative Assistant provides clerical, administrative, and logistical support to ensure efficient day-to-day operations of the branch or office. The position supports management and operational units through proper documentation, record-keeping, coordination, and office administration, in compliance with bank policies, internal controls, and applicable regulations. The role has no authority over financial approvals or transactions.
Office Management
Provides general administrative support including travel arrangements, filing, encoding, photocopying, scanning, and document distribution.
Maintains orderly and secure filing systems for records, correspondence, and reports.
Prepares routine letters, memoranda, and reports as instructed.
Responsible in the purchasing and inventory of supplies and other items
Records and Document Management
Ensures proper custody, organization, and retrieval of documents and records.
Assists in maintaining logs, registers, and inventories of documents and office supplies.
Supports records retention and disposal in accordance with bank policy.
Coordination and Office Support
Coordinates meetings, schedules, and appointments for supervisors or managers.
Receives and routes incoming communications, documents, and requests.
Assists in coordinating with Head Office units, vendors, and service providers, as authorized.
Compliance and Confidentiality
Observes confidentiality of bank and customer information in compliance with the Data Privacy Act of 2012.
Complies with internal policies, procedures, and code of conduct.
Supports compliance-related documentation and submissions as required.
Audit and Control Support
Assists during internal and external audits by providing requested administrative records.
Reports document deficiencies, control issues, or irregularities to the supervisor.
Adhoc Tasks
Assisting with event planning, conducting research, updating databases, and drafting special presentations.
Requirements
Bachelors Degree in administration, business, or office management
Prior administrative or clerical experience is an advantage but not required.
Good organizational and record-keeping skills
Basic computer and office application skills
Attention to detail and accuracy
Good communication and interpersonal skills
Integrity and professionalism
- Must be willing to work fully onsite in Sta. Maria, Ilocos Sur
