About the Role:

Were hiring a Senior Virtual Administrative Assistant to support executives and department heads across multiple client accounts. This is not your entry-level admin gig. You'll be managing schedules, tracking key deliverables, preparing reports, handling internal communications, and anticipating needs before anyone even asks. If you thrive in a remote setting, know how to prioritize, and are proactive with a capital P, we want to hear from you.

This role is ideal for a sharp, solutions-first assistant who knows the tools, respects boundaries, and can keep high performers organized without needing constant hand-holding.

What You'll Be Doing:

  • Manage executive calendars, book meetings, coordinate time zones
  • Prep agendas, meeting notes, and follow-up action item summaries
  • Handle inbox management, internal correspondence, and reminders
  • Maintain cloud-based file organization (Google Drive, Dropbox, OneDrive, etc.)
  • Create reports, spreadsheets, and light presentations as needed
  • Liaise between departments to coordinate timelines or deliverables
  • Manage travel bookings, expense reports, and light project coordination
  • Occasionally support recruiting, onboarding, or HR documentation processes

What Were Looking For:

  • 2+ years of remote admin or executive assistant experience
  • Fluent with Google Workspace, MS Office, Slack, and Zoom
  • Solid written communication no robotic emails here
  • Discretion and professionalism when handling confidential info
  • Can juggle multiple deadlines and priorities without getting frazzled
  • Tech-comfortable you can figure out a new app or dashboard without panic
  • Strong time-blocking and calendar-management instincts

Nice to Have (Not Required):

  • Experience supporting C-level executives
  • Familiarity with productivity tools like Notion, Asana, Airtable, or Trello
  • Prior support experience in tech, healthcare, or legal industries
  • Ability to draft client-facing emails or light copywriting
