Schedule: Monday–Friday, 3:00 PM CST – 11:00 PM, CST (approx. 4:00–5:00 AM to 12:00–1:00 PM Manila time, depending on US daylight saving)
Type: Full-time (40 hrs/week)

RentReady Homes is a fully remote, full-service property management company managing a portfolio of roughly 1,500 single-family rental homes across Texas (Dallas–Fort Worth, Houston, San Antonio, Bryan/College Station) and Alabama. Our parent company, Provision Capital, acquires the properties we manage, so we operate our own portfolio end to end. We run on AppFolio and Slack, and we move fast.
The Role
We're hiring a Virtual Maintenance Coordinator to own maintenance coordination during our evening hours and to be the first point of contact for after-hours maintenance emergencies.
When the US office winds down, you keep the maintenance operation running: triaging new requests, dispatching the right tech or vendor, following up on open work, and handling true maintenance emergencies calmly and quickly.
This is a coordination and communication role — you are not performing repairs. You are the person who makes sure the right work gets to the right person, gets scheduled, and gets closed out.
What You'll Do
Work order coordination
Monitor incoming maintenance requests from the tenant portal, phone line, and Slack throughout your shift
Create, post, and route work orders to the correct market (DFW vs. Houston) and to in-house technicians or outside vendors
Follow up on assigned and open work orders to keep jobs moving — chase vendor scheduling, confirm appointments, and push aging items toward completion
Maintain clean status in AppFolio (open / assigned / work done / completed) so nothing falls through the cracks
Support closeout and billing follow-through on completed work
After-hours emergency handling
Serve as the first responder for emergency maintenance calls and messages during your shift
Assess urgency and triage correctly using company standards (e.g., HVAC failure at 85°F or higher, active water leaks, no power, sewage backups, lockouts, gas/safety issues)
Dispatch emergency vendors and communicate timelines and next steps clearly to tenants
Escalate to on-call leadership when a situation requires approval or falls outside standard protocol
Vendor & tenant communication
Coordinate scheduling between vendors and tenants
Communicate Not-To-Exceed (NTE) amounts, request estimates, and route
change-order approval requests to the right person
Confirm vendors upload before/after photos, receipts, and invoices to the work order
Keep tenants informed with clear, professional, empathetic updates
What We're Looking For
Required
Excellent spoken and written English — you'll be on the phone with US tenants and
vendors and writing clear updates
Strong organizational skills and the ability to juggle a high volume of open items without
losing track
Calm, sound judgment under pressure — especially when handling emergencies
Tech-savvy and comfortable learning new systems quickly
A reliable, quiet home office: stable high-speed internet with a backup connection,
backup power, and a headset (after-hours emergency coverage means reliability is
non-negotiable)
Able to work the full Monday–Friday evening USA schedule consistently
Strong plus
Prior experience supporting US property management
Hands-on AppFolio experience
(Preferred but not required) Conversational or fluent Spanish (many of our tenants and
vendors communicate in Spanish)
Familiarity with home maintenance trades and terminology (HVAC, plumbing, electrical)
so you can triage accurately
Experience with Slack and remote team coordination
