Logistics Fleet Controller [6 Month Contract]

Qualifications and Experience: 

  • Grade 12
  • A relevant tertiary qualification in Logistics Management or Supply Chain Management
  • Relevant computer software (advanced Microsoft Word, Excel)
  • 5 years experience at Supervisory level within the relevant field
  • Working knowledge of vehicle tracking

Responsibilities: 

General Fleet Control
  • Responsible for instructing, overseeing, and managing tasks assigned to drivers and assistants (loading, on-time deliveries, customer service, etc.)
  • Assist with updating and implementing logistic policies and procedures as necessary
  • Induct new staff members and ensure understanding of all policies and procedures
  • Train new employees and assign them to competent on-the-job trainers within the team
  • Assist in identifying training needs of new and existing employees
  • Assist with testing driving candidates during interview processes
  • Supervise, coordinate, and schedule drivers and assistants to ensure on-time deliveries
  • Allocate trucks to bays according to load sizes; ensure timely and undamaged loading
  • Maintain constant communication with the fleet, monitor delays, and assist in customer communication regarding issues
  • Influence driver behavior and supervise site activities
  • Monitor and manage the vehicle GPS tracking system; generate detailed KPI reports
Fleet Cost Control
  • Monitor kilometers traveled daily according to the fuel issue system
  • Measure manpower costs by analyzing overtime trends, subsistence allowance payments, employee strength, and calculation methods
Incident & Accidents Control
  • Ensure accident reports are accurate and concise
  • Maintain an accident report-keeping system to record frequency, cost trends, discipline, and training needs
  • Train drivers and assistants on incident/accident procedures
Briefing: Conduct Pre-Trip Preparation
  • Check validity of COFs, licenses, and transport permits
  • Prepare and check load documents prior to dispatch
  • Ensure documentation is collected and checked upon return from delivery
  • Conduct pre-trip inspections on time and according to standards
Debriefing: Conduct Post-Trip Preparation
  • Debrief drivers on specific aspects upon return
  • Collect and check documents after trip completion
Administration & Keeping Records
  • Accurately record information in a computerized vehicle register within 24 hours of trip completion
  • Report unresolved queries to Management within 24 hours
  • Calculate and submit driver wages and subsistence allowance payments to the wages clerk in a timely manner
Implement and Manage Marketing Strategies
  • Continuously check the quality of service provided to customers by monitoring critical performance areas and taking corrective action as needed
  • Report instances of poor and/or excellent customer relationships to Management on an ongoing basis
Fleet Supervision and Control
  • Measure driver and assistant performance
  • Maintain constant communication with drivers en route
  • Carry out ancillary duties requested by Management as instructed
  • Report delivery delays and missed loads to the direct Manager
Proactive Communication with Dispatch Teams
  • Participate actively in fleet management oversight and general administration
  • Ensure accurate and timely resolutions to breakdowns
  • Monitor and record fleet overtime, rest periods, etc.
  • Serve as a point of contact between drivers/assistants and customers, assisting in resolving difficulties during deliveries
  • Sign off on daily vehicle inspections; ensure accurate and timely recording of inspections and addressing notable issues
  • Monitor vehicle maintenance records and oversee maintenance costs
  • Ensure compliance with PPE requirements and dress codes
  • Control vehicle keys and key drop box (maintain a register)
  • Ensure rotation of vehicles between local and country trips
  • Continuously monitor vehicles via C-Track monitoring
