Supply Chain Coordinator

Minimum Requirements:

  • Must have a Diploma in Logistics, Operations, Supply Chain, Business, or a similar field (NQF 7).
  • 3-5 years experience in a Warehouse or Supply Chain environment, with at least 3 years at the Senior Management level.
Technical Competencies (Knowledge/Systems/Legislation)
  • Proficiency in data analysis tools (e.g., Excel, SQL, Power BI, SAP) and Transportation Management System (TMS).
  • Clear understanding of Warehouse Management System (WMS).
  • Knowledge of Warehousing and Distribution processes and procedures.
  • Solid understanding of transport operations, logistics processes, and supply chain management.
  • Financial acumen.
  • Computer Literacy (MS Office Suite; SAP, ERP Systems, and job-specific software systems).
  • Knowledge of relevant Business Processes.
  • Knowledgeable in Material Resource Planning (MRP).
  • Project Management.
  • Vendor Management.
  • Demonstrated use of performance metrics to measure the effectiveness of the supply chain.

Responsibilities:

  1. Transport Process Management

    • Analyze, control, and optimize transport processes for efficient and cost-effective movement of goods.
    • Contribute to strategic and operational plans to meet transportation objectives and budget.
    • Plan, coordinate, and monitor vehicle loading and offloading.
    • Ensure accurate documentation for dispatched goods.
    • Liaise with transport partners for daily planning and deliveries.
    • Collect and analyze data on route efficiency, fuel consumption, delivery times, and costs.
    • Develop transportation metrics and KPIs to track performance.
    • Evaluate transport vendors and ensure compliance with SLAs and cost targets.
    • Host monthly reviews of SLA compliance.
    • Assist in negotiating contracts with carriers based on performance data.
    • Manage claims and incidents per policy.
  2. System and Process Optimization 
    • Review and optimize transport, material handling, and system processes for improved flow.
    • Analyze current transportation processes and recommend improvements.
    • Collaborate with warehouse and sales teams to implement changes.
    • Conduct cost-benefit analyses on transport initiatives.
    • Monitor transportation expenses for cost-saving opportunities.
    • Analyze routing data for efficient delivery schedules.
    • Address Transport Non-Compliance Requests (NCRs) promptly.
  3. Customer Service  

    • Maintain relationships with customers to ensure high service quality.
    • Resolve customer complaints swiftly and provide feedback.
    • Represent the company in stakeholder meetings.
    • Collaborate with customer service teams to enhance delivery performance.
    • Visit customers to understand their constraints regarding loading and offloading.
  4. Compliance  

    • Ensure operations comply with laws and regulations, including safety standards.
    • Develop and enforce safety protocols to prevent workplace accidents.
    • Implement emergency procedures and train staff accordingly.
    • Maintain a quality assurance program and risk register.
    • Ensure compliance with internal and external audit findings.
    • Educate the transport team on labor legislation and compliance policies.
  5. Reporting 
    • Report on activities and progress to support business objectives.
    • Ensure correct billing processes with Finance.
    • Identify cost-reduction opportunities without sacrificing efficiency.
    • Monitor expenditure against budget and promote resource efficiency.
    • Prepare detailed reports on transport performance, including KPIs.
    • Document vehicle maintenance, safety compliance, and incident reports.
    • Provide insights on transportation costs and efficiency improvements.
    • Compile periodic summary reports for management on transportation activities.
