About the job Administrative Manager

Responsibilities:

  • Oversee day-to-day administrative operations.
  • Manage and lead a remote administrative and call center team (4+ employees and growing).
  • Ensure all inbound calls are answered promptly and professionally.
  • Ensure all post-call sales tasks are completed, including follow-ups, estimates, and QA/QC.
  • Oversee Accounts Payable (AP), check handling and deposits, invoicing, and mail processing.
  • Manage Accounts Receivable (AR) and AR follow-up calls.
  • Oversee timesheets, payroll support, and administrative compliance tasks.
  • Manage scheduling, routing, dispatch, and job tagging in coordination with the Production Manager.
  • Support the Sales Manager by maintaining clean pipelines, task completion, and CRM accuracy.
  • Coordinate closely with sales and production teams to ensure operational alignment.
  • Identify process gaps, improve workflows, and help scale administrative systems.

Qualifications:

  • Minimum of 3–5 years of administrative, operations, or call center management experience.
  • Experience managing remote or distributed teams.
  • Strong organizational skills with a high level of attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong communication and leadership skills.
  • Experience with CRMs, scheduling systems, and phone systems preferred.
  • Home services industry experience (tree, lawn, HVAC, plumbing, etc.) preferred but not required.
  • Ability to work independently while collaborating with sales and production leadership.
