About the Role
We are a fast-growing real estate investment and land development company seeking a Dispositions Administrative Coordinator to manage and enhance our property listing and sales pipeline. In this dynamic role, you'll be the critical link between our acquisitions/dispositions team and prospective buyers handling buyer communications, maintaining and optimizing property listings, and improving internal sales processes.

Primary Objectives
- Expand, nurture, and manage our buyers list to improve deal flow and conversions.
- Respond to leads swiftly and qualify interested buyers.
- Manage daily and rotating property listings across multiple platforms.
- Track and analyze listing performance and CRM data.
- Identify bottlenecks in the pipeline and propose solutions.
Key Responsibilities
1. Lead Management & Buyer Engagement
- Respond promptly to incoming buyer inquiries via Facebook (Marketplace & Groups), phone, email, and CRM. Speed-to-lead is essential.
- Enter, track, and update leads using Follow Up Boss (CRM).
- Maintain organized buyer records, tagging, notes, and communication history.
- Segment buyers by interest, location, and capacity to improve targeting.
- Conduct basic lead qualification (zoning needs, financing options, budget, etc.).
- Set up and confirm property showings.
- Nurture leads with automated and manual follow-ups.
- Communicate buyer preferences and updates with the internal sales team.
2. Property Listing & Marketing Management
- List properties on platforms including: Facebook Marketplace & Groups (rotating 1520 active properties per account).
- Land.com, LandWatch, Land of America (LOA) Network.
- Other relevant sites as needed.
- Manage 4 active Facebook accounts, posting 1 property per day per account.
- Ensure no duplicate listings are created; rotate listings to maintain freshness.
- Refresh and re-list Facebook Marketplace properties every two weeks for visibility.
- Monitor and update all listing details including:
Pricing
- Zoning and parcel info
- Owner financing availability
- Accessibility and utilities
- Add new listings to email blasts for targeted buyers.
- Track listing performance (clicks, views, inquiries), run A/B tests on descriptions/titles, and suggest optimizations.
- Monitor platform trends to keep listings competitive.
3. Sales & Transaction Coordination
Schedule and confirm buyer showings with internal and external contacts.
Collaborate with the Dispositions and Sales teams to ensure smooth closings.
Assist in negotiation tracking and provide buyers with timely follow-ups.
Identify and report pipeline bottlenecks or delays.
Help streamline the sales process by refining templates, processes, and internal workflows.
Maintain deal status updates across CRM and internal systems.
Qualifications
- 2+ years in a real estate coordination, dispositions, or administrative support role (preferred).
- Familiarity with land flipping, dispositions, or real estate sales highly desirable.
- Experience using Follow Up Boss (CRM) or similar platforms.
- Strong understanding of Facebook Marketplace/Groups listing management.
- Proficiency with Google Workspace, Microsoft Office, and task management tools (e.g., ClickUp, Trello).
- Excellent written and verbal communication skills.
- Highly organized, detail-oriented, and proactive.
- Comfortable working independently and within a remote team.
- Available to work Monday-Friday, 9 AM 6 PM EST.
