We are a fast-growing residential and commercial tree service and lawn care company. Our company manages multiple field crews and service lines, including tree removals, pruning, stump grinding, lawn fertilization, and plant health care. We take pride in providing professional, responsive customer service and a smooth experience for our clients from first contact through project completion.

Position Overview

The Business Development & Customer Service Representative (CSR) plays a critical role in our operations by ensuring a seamless connection between customers, sales staff, and field crews. This position involves managing inbound and outbound communication, supporting the sales process, maintaining accurate records in our CRM, and assisting with general office and administrative tasks.

Key Responsibilities

Business Development & Outreach

  • Conduct outbound calls, emails, and follow-ups to landscapers, HOAs, tree companies, property managers, and other referral partners. Target of 250 calls a day.
  • Build and nurture relationships to generate recurring lawn care and plant health care leads.
  • Maintain and grow a pipeline of potential partners and prospects.
  • Track outreach activity, appointments set, and conversions within the CRM.
  • Represent the company professionally when coordinating with vendors, subcontractors, and strategic partners.
  • Assist with outreach for seasonal marketing campaigns and territory development.

Sales Support & Scheduling

  • Book and coordinate customer appointments for tree and lawn estimates.
  • Assign sales leads to the appropriate arborist or territory representative.
  • Follow up on unsold estimates and document customer feedback.
  • Confirm scheduled work and communicate customer updates to the operations team.

CRM & Data Management

  • Enter and update customer data, service notes, and job details in our CRM (SingleOps or ServiceMinder).
  • Maintain accurate and organized digital records for all customer interactions.
  • Generate and update Excel spreadsheets for tracking sales performance, AR collections, and call logs.

Accounts Receivable

  • Collect outstanding balances (AR) via phone, email, or online payment links.
  • Track and report on overdue invoices and payment plans.
  • Provide billing support and coordinate with bookkeeping when needed.

Customer Communication

  • Answer inbound calls, emails, and messages in a professional and timely manner.
  • Handle customer complaints and service concerns with empathy and problem-solving.
  • Provide follow-up communication to ensure client satisfaction post-service.

Administrative Support

  • Assist with office correspondence, reporting, and document management.
  • Support marketing efforts such as lead list updates and email campaign follow-ups.
  • Perform additional administrative or coordination duties as assigned.

Key Requirements

- Minimum 2 years of customer service, sales or office administration experience (preferably in a service, construction, or landscaping industry).
- Strong computer skills, including CRM systems, Excel, and email communication tools.
- Excellent written and verbal communication skills.
- Professional and friendly phone presence.
- Detail-oriented, organized, and capable of managing multiple priorities.
- Reliable, punctual, and able to work independently as part of a small office team.

Preferred Qualifications

- Experience in tree service, lawn care, landscaping, HVAC, or related trades.
- Familiarity with SingleOps, ServiceMinder, Jobber, or similar CRM software.
- Basic understanding of business development and experience with cold calling.
