Lead VA (Night Shift) Full-Time | Remote

(Philippines)

About the Role

We are hiring a Lead VA to take ownership of the recruitment delivery function within a fast-growing,

high-performance recruitment business.

This is a leadership-focused role where you will manage and oversee a team of recruitment VAs, ensuring

strong performance, structure, and consistency across all delivery activities. While you will have the

capability to step into sourcing, screening, and candidate management, this will be on a support basis

rather than a core responsibility.

You will be responsible for driving team performance, improving systems and processes, and ensuring

high-quality execution across all recruitment and back-end support functions.

This role operates in a fast-paced, startup environment — ideal for someone who thrives on ownership,

continuous improvement, and building scalable systems while leading a team.

Work Schedule

● Primarily night shift (PH time)

● Typical start time: 12:00 MN or 1:00 AM

● Must be open to a schedule that overlaps with US and AU business hours

● Some flexibility may be agreed upon depending on team coverage

Key Responsibilities

Team Leadership & Performance

● Lead and manage a team of recruitment VAs across sourcing, coordination and back-end support

● Set clear KPIs and performance standards

● Conduct audits, quality checks, and performance reviews

● Train, coach, and upskill team members to improve capability and output

● Build a high-performance, accountable, and collaborative team culture

● Act as an escalation point and reduce reliance on the founder

● Take full ownership of tracking all active roles and projects, ensuring clear visibility on progress,

candidate pipelines, and key updates across the team, and reporting on overall delivery status

regularly

Recruitment Delivery (Hands-On)

● Support sourcing, screening, and candidate management when required

● Oversee candidate communication, follow-ups, and coordination

● This is a player-coach role — you lead the team and step in when needed

Candidate Experience & Delivery Oversight

● Ensure a high-quality candidate experience across all touchpoints

● Maintain speed, responsiveness, and professionalism

● Ensure timely interview feedback and updates

● Support recruiters in maintaining consistent delivery flow

Systems, Process & Operations

● Build, refine, and optimise recruitment workflows, automations and SOPs

● Identify inefficiencies and implement scalable improvements

● Identify new tools and applications to eliminate manual task

● Ensure strong ATS hygiene and data accuracy

● Monitor pipelines, reporting, and team output metrics

Team & Business Contribution

● Support hiring and onboarding of future team members

● Contribute to scaling the recruitment function

● Help improve overall delivery performance and team output

VA Function

● Inbox and calendar management for the founder

● Client Coordination

● Attend client meetings and disseminate information to team members

● Handle invoicing to clients, account reconciliation and other tasks related to business

Requirements

● Proven experience leading or mentoring recruitment or operations teams

● Background in a recruitment agency, with experience operating in scrappy, fast-paced startup or

scale-up environments where processes are evolving — not just recruiting for startups, but

working within them

● Strong understanding of candidate sourcing, screening, and recruitment workflows

● Proven experience in training, coaching, and upskilling team members

● Strong systems and process mindset (SOPs, workflow optimisation)

● Excellent communication and stakeholder management skills

● Highly organised with strong attention to detail confident managing performance and

having direct conversations

● Strong time management across multiple priorities and time zones

● Tech-savvy and comfortable using ATS and AI-enabled tools

● Exposure to hiring for GTM, Sales, Strategy & Operations, Design recruitment

● Strong experience supporting US hiring (East and West Coast), ideally with direct experience

working offshore for San Francisco-based SaaS startups
