Recruitment Admin & Sourcing Specialist (Night Shift)
Remote (Philippines) | Full-Time
About the Role

We’re looking for a highly organised Recruitment Admin & Sourcing Specialist as a recruiter support
within a growing recruitment group supporting global clients.
The team operates within a talent consultancy environment focused on hiring top Saas talent across
business-critical functions such as go-to-market (GTM), operations, and design, partnering closely with
high-growth and scaling companies.
This role is primarily focused on back-end, administrative and sourcing support, with the goal of
removing up to 80% of admin workload from the recruiter. You will be responsible for keeping
recruitment processes structured, candidates progressing, and systems accurate — ensuring the
recruiter can focus on client-facing and hiring decisions.
You’ll be part of a lean, high-performance setup, where speed, accuracy, and ownership are key, and
where your work directly impacts the quality and efficiency of hiring outcomes.
This is ideal for someone who enjoys structured work, organisation, and keeping operations running
smoothly, with some light exposure to sourcing activities.
Reporting Line
This role reports directly to a Team Lead and will be assigned as a dedicated VA to a recruiter.
What You’ll Be Doing:
Recruitment Administration
● Maintain and manage ATS/CRM systems with high accuracy
● Update candidate stages, notes, tags, and job records
● Prepare candidate submission documents
● Track candidate progress across all active roles
● Ensure all recruitment data is complete, organised, and up to date
● Support daily recruiter workflows and task management
● Prepare documents pre-meeting with clients for new live roles.
Interview & Candidate Coordination
● Schedule interviews across multiple time zones
● Send confirmations, reminders, and follow-ups to candidate
● Manage calendars and ensure smooth interview logistics
● Keep candidates informed and engaged throughout the process
Candidate & Pipeline Support
● Assist with candidate resume screening and basic qualification checks
● Support candidate communication and follow-ups
● Maintain structured and searchable talent pools
Sourcing Support
● Source candidates and build pipeline via LinkedIn Recruiter when needed
● Support outreach campaigns under recruiter direction
● Market map based on clients need
Systems & Tools
● Work within ATS and CRM systems to manage recruitment workflows
● Use AI tools to support admin tasks, reporting, and efficiency
● Ensure accuracy and quality of all data and outputs
What We’re Looking For
● Strong experience in recruitment sourcing, coordination, admin, or support roles
● Strong organisation and attention to detail
● Experience using ATS/CRM systems
● Strong communication skills, especially with candidates
● Comfortable working in a structured, process-driven environment
● Tech-savvy and open to using AI tools
● Reliable remote work setup including a high quality webcam for client meetings
● Experience working night shift and US market
Nice to Have
● Previous experience as a VA in a similar environment
● Exposure in recruiting for tech, design, GTM (sales), strategy & operations roles
● Experience supporting fast-paced recruitment teams
● Experience working with Paraform is a plus
Working Set Up and Hours
● Fully remote role
● Night shift (12mn or 1am PH time) aligned with US-based hiring and overlaps with AU
timezone for team meetings.
