Role Description

CatalyzeX is seeking a highly organized and detail-oriented Paralegal / Legal Assistant  to join our remote legal team. In this role, you will oversee the full lifecycle of case management from intake through case closing serving as a central hub for document management and case organization. You will support attorneys and senior paralegals, ensuring all case materials are accurate, properly filed, and easily accessible, while helping maintain smooth workflows across the team.

Key Responsibilities

Case Intake & Opening

  • Process all new client intake information and documentation.
  • Create and organize new case files in legal case management systems.
  • Prepare engagement letters, conflict checks, intake forms, and other opening documents.
  • Coordinate with attorneys to ensure complete and accurate intake information.
  • Maintain case opening checklists to ensure consistency across all matters.

Case Management & Closing

  • Monitor ongoing cases and ensure case data is accurate and up-to-date.
  • Coordinate with attorneys to identify cases ready for closure.
  • Execute case closing procedures, including final billing, archiving documents, and updating case status.
  • Prepare case closing memoranda and coordinate return or destruction of client materials.

Document Management & Discovery

  • Serve as the central resource for locating and retrieving case documents and discovery materials.
  • Maintain organized electronic and physical filing systems with consistent naming conventions.
  • Manage discovery materials, including indexing, tracking, and archiving.
  • Conduct periodic audits of case files to ensure compliance with filing standards.
  • Support attorneys and staff in document preparation, version control, and proper storage.

Administrative & Client Support

  • Provide general administrative support, including managing emails, phone calls, and calendars.
  • Assist with scheduling meetings and coordinating case-related communications.
  • Serve as a secondary point of contact for clients, providing updates and addressing inquiries.
  • Draft, file, and process legal documents and correspondence as assigned.

Qualifications

  • Strong American English communication skills (spoken and written).
  • Knowledge of legal procedures, case management, and document handling.
  • Exceptional organizational and multitasking abilities with strong attention to detail.
  • Experience with legal case management software and cloud-based document systems.
  • Ability to work independently while collaborating effectively in a fast-paced environment.
  • Background in workers' compensation and personal injury law preferred.

Technical Skills

  • Legal case management software (experience preferred).
  • Cloud-based document management systems (Dropbox, Box, or similar).
  • Microsoft Office Suite (Word, Excel, Outlook).
  • Document scanning and PDF management tools.

Compensation: $7 per hour
Working Hours: Eastern or Pacific Time Zone
