Role Summary:
Provides essential administrative and organizational support to the principal, family, and Manager. Manages clerical tasks, scheduling, and coordination to enable smooth daily operations and allow the Manager to focus on strategic oversight.
Roles & Responsibilities
- Maintain and update personal records (e.g., medical, insurance, residency).
- Handle reimbursement claims and liaise with the finance department.
- Support document archiving and digital file management system
- Planning, booking, and coordinating complex domestic and international travel, accommodations, and experiences (corporate, personal, and leisure travel).
- Managing intricate itineraries, ensuring comfortable accommodations, and arranging reliable transportation.
- Ensuring all visa and travel documentation is up to date and compliant with regulations
- Track expenses, process payments, and maintain financial records.
- Prepare reports for the manager's review and approval.
- Support budget tracking using spreadsheets or financial tools.
- Coordinate event logistics, catering, menu planning, and guest lists.
- Schedules for pet appointments (grooming, health checkups, daycare).
- Manages pet records and supplies, coordinates daily care and exercise.
Requirements:
- Diploma or bachelor's degree in Business Administration or a related field.
- A minimum of 5 years of experience in an administrative assistant or junior secretary position, ideally supporting senior management or working within an executive office environment.
- Experience in a high-net-worth or family office environment is an advantage.
- Proficiency in MS Office, digital collaboration tools, and online booking systems.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
- Strong interpersonal skills, with the ability to interact effectively with individuals at all levels.
- Excellent written and verbal communication skills.
- Professionalism, discretion, and the ability to handle confidential matters.
- Proactive, resourceful, and able to work independently with minimal supervision
- Strong sense of accountability and commitment to delivering high-quality work.
- Energetic, adaptable, and eager to learn and grow.
- Understands the importance of discretion in a private household setting.
- Must be comfortable handling cats and dogs
- Open to feedback and willing to learn and improve continuously.
