Responsibilities:

  • Answering the CEO's emails and phone calls
  • Scheduling meetings and booking travel arrangements.
  • Take accurate and comprehensive notes at meetings
  • Help with daily time management
  • Run errands as requested
  • Draft correspondence such as emails, contracts, and letters
  • Composing and preparing correspondence that is sometimes confidential
  • Arranging detailed travel plans, itineraries, and agendas;
  • Compiling documents for travel-related meetings
  • Responsible for organizing internal and external meetings on behalf of the CEO ensuring all requirements are made e.g., meeting venue, equipment, presentations, prepare agendas.
  • Researches, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature
  • Provides a bridge for smooth communication between the CEO's office and internal departments
  • Works closely and effectively with the CEO to keep him well informed of upcoming
  • commitments and responsibilities, following up appropriately.

Requirements

  • Appropriate to the image of the company, a professional image must be reflected
  • and worn at all times within the organization and towards the clients
  • Discretion and trustworthiness
  • Good oral and written communication skills, organizational skills
  • Excellent skill set in Microsoft Office suite
  • The ability to be proactive and take the initiative.
  • Good organizational attitude and ability to remind/follow up on all open matters.
  • Good communication skills
  • Able to maintain confidentiality at all times
