Job Title:  Sales Admin

Job Summary:

We are seeking a detail-oriented and proactive Sales Administrator to support our real estate sales team. The ideal candidate will play a key role in ensuring the smooth operation of day-to-day sales activities, providing administrative and customer service support, and coordinating between internal departments to deliver a seamless client experience from inquiry to handover. This position requires strong organizational skills, excellent communication, and an understanding of real estate sales processes.

Key Responsibilities:

Sales Support & Coordination

Assist the sales team with documentation, proposal preparation, and client communication.

Maintain and update client databases, CRM entries, and sales pipelines accurately.

Prepare quotations, booking forms, sales and purchase agreements (SPAs), and other contract documentation.

Ensure all sales documentation complies with company policies and regulatory standards.

Coordinate between sales, marketing, finance, and legal teams to ensure timely processing of client requests.

Track payments, coordinate with finance for invoicing and receipts, and follow up on outstanding balances.

Support sales executives in scheduling client meetings, site tours, and follow-up activities.

Customer Service

Act as a point of contact for clients regarding sales documentation, payment schedules, and project updates.

Respond promptly to client inquiries via phone, email, and in-person visits.

Ensure an exceptional client experience throughout the sales journeyfrom reservation to handover.

Maintain confidentiality and professionalism in all client interactions.

Reporting & Analysis

Prepare daily, weekly, and monthly sales reports and dashboards for management review.

Track key performance metrics, such as leads, conversions, bookings, and cancellations.

Assist in generating market trend and sales performance summaries.

Process & Compliance

Ensure all sales files are accurately maintained and archived both digitally and physically.

Verify that sales transactions are aligned with internal approval workflows.

Support internal audits by providing relevant documentation and reports.

Recommend process improvements for greater operational efficiency.

Qualifications & Requirements:

Bachelors degree in Business Administration, Marketing, or related field.

24 years of experience in sales coordination, administration, or customer service within real estate, property development, or brokerage.

Strong knowledge of CRM platforms (e.g., Salesforce, HubSpot, or similar).

Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).

Excellent command of written and spoken English; additional languages are a plus.

Exceptional organizational and multitasking skills with attention to detail.

Ability to thrive in a fast-paced, deadline-driven environment.

High level of integrity and discretion when handling sensitive information.

Work Environment:

Based in Dubai, UAE.

Office-based role with occasional site visits and client meetings.

Standard working hours; flexibility may be required during high-demand periods.

Reports to the Sales Manager / Head of Sales.
