About the Role:
RSP Management is a boutique, Twin Cities–based community association management firm focused on professional, ethical, and transparent service. The company manages a select portfolio of homeowner associations and operates with clear processes, defined expectations, and disciplined follow-through.
The Office Administrator plays a key role in supporting the workflow and day-to-day operations of both the internal team and the homeowner associations they serve. This role is responsible for maintaining organization, ensuring consistency, and supporting execution across the business so that priorities stay on track and nothing falls through the cracks.
This position is ideal for someone who performs well within structured systems, can manage changing priorities and time-sensitive deadlines, and values accuracy, consistency, and steady progress. It offers a balance of variety throughout the day while still allowing for focused, detail-oriented work.
Core Responsibilities:
Complete administrative and operational tasks including invoice processing, data entry, and file organization
Maintain organized and accurate records, communication logs, and association files in alignment with CAI best practices
Manage incoming calls, emails, and service requests through CINC, ensuring accurate documentation and follow-through
Serve as a primary point of contact for homeowners, vendors, and board members with clear, factual, and professional communication
Coordinate vendor services, track work orders, and assist with project updates and closeout
Support rule enforcement and violation processes in accordance with governing documents and Minnesota law (MCIOA)
Work closely with the Community Managers to prioritize tasks, meet deadlines, and support ongoing operational needs
Help maintain efficient workflows and contribute to the consistency of day-to-day operations as the company grows
Required Qualifications:
Strong written and verbal communication skills with a clear, direct, and professional style
High attention to detail with a consistent focus on accuracy and follow-through
Ability to manage changing priorities and deadlines across multiple communities
Comfortable working independently within defined processes and guidelines
Ability to shift between tasks and responsibilities throughout the day
Proficiency with Google Workspace (Docs, Sheets, Gmail, Drive)
Willingness to learn Minnesota HOA law, Fair Housing regulations, and Open Meeting requirements
