Position: RECEPTIONIST

The Receptionist will be responsible for receiving all incoming calls, greeting and dealing with all guests to the office and the public information center. In addition, the receptionist will perform basic administrative duties as required.

Minimum Requirements

  • High School Diploma;
  • Minimum 01 years of relevant experience in receptionist/administrative work preferably with international organizations.
  • Good knowledge and some experience in specialized administrative/operational support functions (e.g., database management, knowledge management, task management, major event/course planning, etc.) and ability to assist in applying relevant procedures, processes and systems
  • Excellent communication skills and the ability to command both written and spoken of Khmer language and English
  • Computer literate e.g. Word, Excel, PowerPoint, e-mail, and ability to search as well as extract information on the internet.
  • Knowledge of standard office equipment (e.g. computers, photocopy, fax machines, etc.)
  • Understanding of basic file/record systems.
  • Strong client responsiveness/service orientation
  • Strong inter-personal skills and commitment to work in a team-oriented, multi-cultural environment.
  • Ability to adapt to changing environment
  • Good team player, with ability to interact tactfully and effectively with staff at all levels in a multi-cultural environment.
  • Ability to work accurately and complete tasks according to specific instructions.
  • Willingness to seek assistance from more experienced staff and learn from them.
  • Ability to manage several tasks at once and know where to obtain relevant information
  • Sound organizational skills and ability to prioritize and deliver assignments in a timely manner often under severe time pressures.

Roles and responsibilities:

  • To receive and transfer phone calls and take messages.
  • To greet visitors and direct to appropriate offices.
  • Daily review the booking of office meeting rooms and refer to guard/cleaners & tea lady to ensure that they provide on-time services to participant/visitor (room facility)
  • To send office correspondence out, distribute incoming mails, sign for incoming courier packages and record for files.
  • To ensure all incoming mail and packages are properly logged in and distributed to the right places.
  • Maintains current distribution lists, phone/address lists of project/product contacts, and distributes documents for the team.
  • To manage offices magazines and newspapers and make the distribution to relevant unit(s).
  • To perform occasional typing/translation support and other duties as required by the manager.
  • Coordinate for the arrangement of drivers and all office/rent vehicles for staff and visiting missions travel in Phnom Penh and travel to provinces This may also include: Providing reference to traveler regarding the car booking and request; Advise the drivers on schedule of driving to field; Overseeing the car rental to ensure implementation and compliance of Road Safety policy (trip plan, vehicle rental inspection for equip with necessary basic maintenance tools, road map, vehicle checklist & others); Reviewing the Events Calendar to ensure that all mission to the field are provided with information of passenger(s), travel start/end date(s), Flight detail, Hotel address, etc..
  • Assist to ensure that all outsourced driver assigned to organization meet minimum standards with maintain of a courteous and service-oriented attitude.
  • Support to review and ensure that Fist Aid kits are available and updated for field mission used
  • Support in visa application processing at embasies for international based staff and his/her spouse(s)
  • Support in reviewing over-time-sheets of outsourced drivers, vehicle rental and gasolines cost to ensure budget clearance and cost agreed per contract price in placed, and minor expenses of vehicle cleaning services, toll fees and vehicle maintenance/request
  • Monitor and coordinate with distribution for all requests of Business cards, Mission phone, Mobile phone card allowances to staff/user(s)
  • Performs basic office functions , to include: sorting and distributing incoming mail and faxes, answering telephones and receptionist duties, assisting in maintaining unit files, photocopying, delivering urgent mail/messages, obtaining authorizations, handling courier services, etc.
  • Maintain liaison with World Bank for dropping and receiving pouch, note-verbal, etc.
