Responsibilities:

- Administrative:

  • Generate daily operation time sheets for approval.
  • Consolidate supplier invoices, gather signature and upload to server on a daily basis
  • Maintain and update leave
  • Calculate overtime
  • Generate documents for operations (Service Report, Port Entry documents etc)
  • Manage and maintain accurate and up-to-date records and files
  • Handle incoming and outgoing mails, emails, and faxes
  • Coordinate meetings, courses and travel arrangements for employees and management
  • Maintain office supplies, inventory, and assets etc

- Sales Support:

  • Manage LinkedIn account daily
  • Call and arrange sales meetings
  • Coordinate with project manager on confirmed sales
  • Coordinate with accounting on billing matters
  • Send out SOAs to clients
  • Any other related administrative for sales matters

- Others:

  • Ensure compliance with company policies, procedures, and regulatory requirements
  • Develop and implement administrative processes and procedures to improve efficiency
  • Provide excellent customer service to employees, management, and external stakeholders.
  • Perform any other tasks as assigned by management
